Registering multiple participants for an event
August 02, 2008, 06:38:12 am
I am using CiviEvent in the sandbox environment. I set up an event named "5th grade Sunday School."  I would like it to work for parents registering 1 or more kids for a Sunday school class.  But currently both the parent and the kids show up as attendees for the class.  How can I configure the event so that only the kids show up as attendees?

Also how can make it easy for the parent if their children are already linked to them as either members of their houshold or as their children in CiviCRM using defined relationships.   Ideally if I am already listed in CiviCRM as having 4 other people in my household, it would be very convenient to have the Event registration screen list the other members of my household when I choose to sign up multiple participants.

Thanks,
Sarah

Can the parent just register the kids and not him/her self? i.e. enter information for the the first kid and then all the other kids (as multiple participants?)

The second requirement seems a bit specific to your org. You'll need to do some custom coding for that.

I tried registering 2 kids for the class ( but not myself)  But I ran into 2 bugs:

1) This warning appeared when I tried to register the 2nd kid:
Please correct the following errors in the form fields below:
The Email Address should be unique for Additional Participant

2) Even though I have the default role for my event as "Student", when I looked at the participant records, role is blank.

Hi Sarah,
For item 1) - see this forum post http://forum.civicrm.org/index.php/topic,4205.0.html

For item 2) - there was a bug in the way "new participant roles" were stored which would have caused them to appear to be missing in the record listing. This is fixed now.

I did check on http://drupal.demo.civicrm.org/, but wasn't able to register multiple participants for an event with a single email address.

How can I confirm if this is really fixed? If so, how can I see the fish-eye details for the fix (files affected, etc.).

i misunderstood your post. I thought you were talking about item 2 which is fixed

the current (or the next) release still does not permit  using the same email address

if important to you / your org, consider contributing code (or sponsoring someone to do the development) that does the needful

How much do you think it would cost to sponsor this work? How much time do you think this work requires?

It would take us between 20-40 hours to implement, maintain and support this feature. Our consulting rates and contract are here:

http://wiki.civicrm.org/confluence/display/CRM/Consulting+Services+Agreement

Note that 2.2 is already in code freeze, so the earliest this can happen is for 2.3

You might want to look at the changes I did, ofcourse these are customizations I made, so not officially supported

Thanks. Are there any other change/s we need to make for this to work (add rules, etc.)? Not working as is on Joomla.

tabidi,
Thanks so much for the modification!  It does exactly what I need!
I am using Civi 2.1.4 standalone, so I can't say if it will work in Joomla.

The ability to register multiple people for an event using the same email address (http://issues.civicrm.org/jira/browse/CRM-4167) is part of 2.2 beta4 released earlier today. You can enable this by checking the new field for "Allow multiple registrations from the same email address?" under Configure Event >> Online Registration.

With this feature enabled, you can also allow additional participants to be registered WITHOUT ANY EMAIL ADDRESS entered. However, this also requires that you include a Profile in the Event Registration form that has at least First Name and Last Name fields.

Finally, I also did some tests for the 'parent registers multiple children for an event / camp' use case. This isn't a complete solution in that it doesn't create relationships automatically - and there's not explicit way to say that the registering user is NOT actually a participant. However, it can work pretty well - again assuming you've included a profile to collect first and last name (and of course other needed camper info). The parent's email will be part of the first registered child's record - and then you can skip the email address for the remaining children. If you want the parent's email address to be part of the record for EACH child - you'll need to modify the default "Strict Duplicate Matching"  for Individuals. I used Email = 10, First Name = 10, Last Name = 10, Threshold = 30. This ensures that 3 different contacts are created / registered (since First and Last Name are different for each child).

If you are interested in these use cases - please run some tests either on your own install or the public demo and let us know how it's working for you.
