Consultant for Barcode in Event Email
August 30, 2010, 11:32:17 am
Seeking a consultant for Barcode generation and scanning for CiviEvent

We use CiviEvent for online event registrations and payments. In the confirmation email we would like to print a barcode.  This will be used as a receipt that customers print and bring to the event.  In one receipt several seats (“n” seats) may be purchased.  The organizers scan the receipt using a barcode reader, issues “n” number of wrist bands.  The status of the scanned record gets updated as "scanned" in the database.  If the same receipt is scanned twice, an alert is triggered.
Finally, in the reporting side, would like a report of number of scans and number of seats.

Please let me know the cost, time frame, and any options/simplifications.

Hi,

Not sure how we could put that in the confirmation email, I'd generate that as a pdf (sent both by mail & probably linked on the confirmation page).

We worked on the event namebadge (pdf with participants), and the library we use allows to print barcode, so not too far away of what you are describing.

How many participants per order are you expecting (what is your "n") ?

What if the participant come without the paper ? Are you supposed to find them and regenerate/mark as wristband distributed them ?

What if the participant loose the mail ? Do you need to be able to regenerate it ?

You don't have complicated "products" (eg. different wrist bands)...

Do you need more information on the "receipt" (eg. the amount, names of the participants...) ?

General question for everyone, being able to generate "invoices" as been requested several time. If you want it and have money, we could develop both features, that are not too far away.

I would note that in 3.2.x the receipts do go out as pdfs so hopefully that helps

  • Either will work: PDF attachment to email or in the body of email of type HTML.
  • "n" is for size of family, so it can be any number, but typically in the range of 1 to 4.  we can limit to 10, if there is a need
  • People that come without paper work will be handled in a separate line, we will verify ID etc., but make a notation as scanned
  • If people lose email, we will treat as above ... verify with ID and make a notation as scanned.  I am assuming regenerating email is hard.
  • In the PDF, we will need payment amount, name of head of household, date/time of purchase, event name.  If we can print participant_ids and all the names, that would be good as well.

Regenerating a email is not difficult, but I would recommend that even if the PDF is attached to the email, that a link be provided to retrieve the PDF as well. These links can be useful for staff also, to regenerate PDFs, including printing them on the spot if necessary. That's how I setup a custom ticketing solution: http://civicrm.org/blogs/hershel/civicrm-ticketing-and-attendance

Hi,

TCPDF is with civicrm already, why did you take a different version ?

So based on your solution, the missing bit (beside making it more generic) is to do the checking at the door, set the status and so on.

(wouldn't have used the contact id, but probably more the transaction or participant)

I did not know TCPDF was bundled with CiviCRM when I wrote that code (was for CiviCRM 3.1.6). :)

The attendance part works actually--bar codes are scanned and participation records are updated. The code would probably need to be updated to the latest version of CiviCRM, however.

hershel, what do you think ? What you have done already could be extended to cover the described needs ?

The module I have does virtually everything requested on both of these threads, BUT it's a Drupal module, so it won't work for Joomla.

It generates emails with links to download PDF tickets, including barcodes, and it has an admin page to resend emails or to generate PDFs on the spot to present hard copies to participants etc. It also tracks if the PDF link was clicked or not.

So for Drupal, it has most everything. Other items could be added as well.

Is the attendance recording screen and associated attendance management something you have developed?  I was looking for a similar screen to do attendance recording/monitoring manually in CiviCRM 3.1.5 and could not find it.

Yes, this is also a Drupal module.
