Multiple Guests in single CiviEvent transaction ?

Hello all,

I have been configuring and testing CiviCRM (esp CiviEvent & CiviContribute) for a bit and have everything pretty much in place. The version I have installed is civicrm-1.8.11536-drupal-php4

I haven't found an official way to handle something and was wondering if there were any unofficial suggestions.

I have figured out how to allow the sale of multiple tickets, but for many of our events we don't actually print up tickets, we use a guest list. Now adding the purchaser is easy since they gave us all the info when they bought the tik. So if its a single sale no problem. Now if they bought multiple tiks and everyone arrives all together, we just check off the whole group. So again no real problem(although we really like to know their names & email).

But how do you handle it when one person is going to buy multiple tickets, but they are not all going to arrive at the same time? We could just say purchaser +3 and hope that there is no confusion with the people they invited and only the correct number shows up. But we would really rather collect the names(and emails if possible) for those additional guests to avoid any confuion. Now if would be perfect we could generate full contact records for these people, but I'd be happy with just having their names on the event guest list.

The best idea I've come up with is to add customized fields to the participant record(we use Authorize.net so the fields should work) This would at least get us their names, but has some drawbacks of its own. We will have to double check the registration to make sure they don't pay for one extra guest and then list 4. We also wouldn't have full contact records for these people. But with a little manual effort both of these things can be dealt with.

Does anyone have an idea of a better way to handle this?

I would agree with MacRonin on this matter.

Yes multiple bookings for the same event is crucial issue.

Same time discounts for multiple booking is also a good option with a early registration price.

Say the standard event price is 150 per person.

Early registration price is say $100 till a certain date. This price has to close on that day automatically.

If more there are team registrations we should have discount price options

-   3 persons 7% off the regular price.
-   4 -5 persons 10% off the regular price.
-   6 – 10 persons 15% off the regular price.
-   10 and more 20% off the regular price.

Where all the pricing and the discounts has to be automatically calculated by the system.

Multiple booking should have option call add more delegates. When clicked on it. System should automatically calculate the price.

Next payment according to total price and conformation.

The 2.0 feature set is frozen now. Check: http://wiki.civicrm.org/confluence/display/CRM/CiviCRM+v2.0

We could not add this feature due to the complexity involved and the amount of time. If this is important to you, please consider making a code contribution to the project. We can get you started on IRC

Some support for multiple "guests" and volume discounts is tentatively scheduled for 2.1...

we are very interested in multiple guests (not discounting as much) - and a way to report / search.  Would like this for 2.0 but can't fund alone.  would folks be interested in contributing / sharing cost to fund and backport to 2.0?

Have you looked at using Price Sets to handle multiple guests? This approach won't support each guest being automatically created as a contact record (only the main registering person will get a contact record created) - but it might be a sufficient work-around for you until 2.1 comes out. (You could include a custom Participant field in a Profile for folks to enter a list of "Additional Guest Names" - so at least you'll have that for reference - and you can include that in your export / attendance sheet.)

I would be interested in contributing to back porting this. Though see my comments elsewhere about wanting to have it all done on one AJAXified screen, rather than one screen per registrant.

We could go the profile route, but we do from 3-5 events per week, so that does not sound managable, unless there were a way to associate the field with the event.  Reporting and event counts are also not very usable, and unfortunately, the export to excel has the price set information as a single text string which makes it cumbersome to parse.  I would like a workaround, and hate to do custom stuff, but i'm concerned that we are going to have some real admin challenges otherwise.

Actually a more basic question:  what is the designed behavior for multiple registrations by the same user?  We used to have a bug that would prevent multiple registration for anonymous users and in 2.03 it went away.  I noticed however that the same user (ie. email) can signup for the same event multiple times (which is DEFINITELY a painful workaround:)) but is that the way the system is designed to work or should it prevent the same user from signing up multiple times?

from my understanding, the rules should be:

1. multiple registrations for anon users should be allowed

2. the same email address cannot be used to register for an event. Note that we consider only "completed" payments as valid participants. So if a participant is in pending state, that person can register multiple times
