Set which custom fields appear in Event Participant Report?
October 01, 2012, 04:22:28 pm
I can't work out which part of Civi chooses which custom data fields display in the Event Participant Report.

In the demo site it's Food Preference

http://drupal.demo.civicrm.org/civicrm/report/instance/23?reset=1

In my installation it's Workshops, Accessibility and Billeting.

I can't see anything special about those custom data options to know why they are in the EPR instead of other Participant fields.

I want to add custom fields preferably without having to add a custom report.

thank you for any help

fields need to be searchable for them to appear in reports: http://drupal.demo.civicrm.org/civicrm/admin/custom/group/field?reset=1&action=browse&gid=2

that might be the issue for you. let us know if not.

I tried this method and refreshed everything. I did not see any new options appear at the top where you can select which columns should show.

I've attached a screenshot of what options I have.

I'd like to add two options that we added to our events - college and chapter. That way we can see at a quick glance which ones have registered since those names are more recognizable to us than the person's name.

If you have added the set of custom fields as used for participants, you should be able to see the fields if you have also marked them as searchable.
Go to events on your menu tab, click on find participants .
Hope this helps.
Cheers

As you can see, the fields are searchable. However, when I go to Reports and do the report that lists event participants, those fields are not shown as options for the report columns.

Hi, i think when you created your set of custom fields they were not marked as used for 'participants'
did you select use for 'Participants' on this page: http://drupal.demo.civicrm.org/civicrm/admin/custom/group?action=add&reset=1 when creating the custom fields? you can see an example here http://drupal.demo.civicrm.org/civicrm/event/search?reset=1

Yes, they are indeed set to be for Participants.

I feel I am running into the same issue as the users above. If I understand the issue others are having, I believe I have duplicated the issue in the demo.

I made this custom field: http://drupal.demo.civicrm.org/civicrm/admin/custom/group/field?reset=1&action=browse&gid=7

I do not see it as a 'display column' here: http://drupal.demo.civicrm.org/civicrm/report/instance/23?reset=1 (though it does appear as criteria below)

Does making a 'custom field' show up as a 'display column' require customization ala this page: http://wiki.civicrm.org/confluence/display/CRMDOC40/CiviReport+structure+and+customization ?

The responses below seem to indicate it should show up as long as it is marked searchable.

I do - check in the collapsed tab called checkcustom

Thanks for your response, sorry for my delayed reply.

I had to set up the test custom data again:

Custom Field: http://drupal.demo.civicrm.org/civicrm/admin/custom/group/field?reset=1&action=browse&gid=4

Report: http://drupal.demo.civicrm.org/civicrm/report/instance/23?reset=1

As I tried to say above (and as I believe others are saying), I DO see the custom field in civireport as a 'criteria'. I do NOT see it as a "Display Column". I (and I believe the other poster(s)) are trying to make it appear as a display column.

The way reports are currently structured, custom fields only appear as criteria and not as display columns. Would be a good feature add to allow them to appear in display column too

EDIT: The above statement is wrong, and custom fields are listed in both the display columns and criteria

Got it. Ok. That is what I thought. Thanks for clarifying! I'll try to create my own custom report that generates what I need for now.

Edit per edit above: I still can't find this, see my post next page.

Edit squared: Resolved, I found it also. Thanks all.

Best

Unless I am totally misunderstanding the question, custom fields do appear as display columns - have a look at the following two screen shots
