Exporting Primary Phone and Primary Mobile fails
June 04, 2008, 09:12:21 pm
Hey - just found that the export on our system will not allow me to export a column for both Primary Phone and Primary Mobile - I only get one column, which seems to show Phone where it has one, and mobile where it doesn't.

When I went to verify on demo i set up Test, Pete and Test, Dave and Adv Search for Test% then exported the two individuals - when i used "select fields to export" and selected some fields (see attached) the export produced had no data in it! weird.

can anything be done to enable the exporting of more than one phone field?

This issue got transferred to me :(

So i looked at it earlier today, and with our current data model this does not seem to be a bug.

A contact can have only one "primary" address/phone/email/im. The phone can be of any type (fax/mobile/phone/), that is irrelevant when the question is: "Give me the primary phone for this contact". So the current behavior does seem right, IMO.

You can export both the phone and mobile fields of a specific location. You can also write a custom search to export the primary phone number and the type of the primary phone

thoughts?

Thoughts are lexiconic in nature - the term Primary is being misused ;-)

IN terms of Location we have PRIMARY location.

Within in a location we have a PREFERRED phone.

So in the export settings it might be more useful if the option said PREFERRED not PRIMARY.

If the above is indeed the problem, then the solution was simply for us to export Home + Phone, and Home + Mobile.

The data model was exactly that in v1.9 and prior. we used to have a primary location. Within each location you had a primary email/phone/im etc (each location had only one address)

In 2.0, we simplified the model and dropped the location object. So now we have only one primary for address/phone/email/IM. It has simplified things a lot :)

I did test, and u can export Home - Phone - Phone and Home -Phone - Mobile

All good, but still wonder if the terminology hasn't caught up with the change. By using the term PRIMARY in the export fields it suggests to users that they will be able to export the 'primary' mobile as well as the 'primary' phone. Where as what it exports is the PREFERRED number. Maybe i am not making it clear enough to follow.

We dont use the word PREFERRED. so i think introducing that on the export form is not the best thing to do

in our case, PRIMARY == PREFERRED so not sure if folks will understand the difference between them

Anyway, while typing this post, i figured that we could improve the experience by not giving a "phone type" option when primary is selected. I just checked in a fix for that, i.e. it means u can only choose Phone - Primary

Lobo - sorry if I am exasperating you. The term 'preferred' is what is used if you look at  a person's summary page.

And I may be wrong but was presuming that this is the phone number that was being exported if one chooses as the export field

Phone + Primary + Phone because the export actually includes mobiles if there is no phone

and it does makes sense to be able to export the 'preferred' phone number in one column - that is what the export field above does, and I just felt that it would be more accurate to call it 'preferred' since that is what it seems to be exporting.
