Batch Update drop-down doesn't display profile

Hi all,

I can't seem to find an answer to this other than that the instructions here: http://wiki.civicrm.org/confluence/display/CRMDOC32/Batch+Update+via+Profile say that this works in "certain situations" and I'm beginning to think mine isn't one of them.

I want to do a batch update to a custom data field called "Status" (radio buttons). I've created a profile called "Update Prospects", assigned "Profile" for its use and included this one custom data field that's from a custom data set called "Pipeline" (is used for All Contact Types).

I have both individuals and organizations that use this custom data set. When I search on either just the individuals or just the organizations and try to do a Batch Update Via Profile, the drop-down does not display the "Update Prospects" profile.

I'm either missing something or it's not do-able for some reason?
Any thoughts?

Hi Kurund,

I just created the custom data and update profile on http://drupal.demo.civicrm.org/ exactly like I have it in my system:

Custom data field set: Pipeline Test - for contacts
Custom data fields: Status, Time Zone
Update profile: Update Prospects
Update profile fields: Pipeline Test:Status and Tag(s) - both from contacts

I then:
  • searched Find Contacts and Advisory Board (in groups)
  • selected all contacts
  • selected Batch Update via Profile
  • clicked Go
  • clicked the drop-down


...and my profile isn't there. I must be doing something wrong??!!

Can I not have the pipeline radio button and the tags together in the profile? Can't figure out what I am or am not doing.  ???

Any insight would be very helpful.

well not sure who did what - i was making some changes, but so was someone else  ::)

Hi Peterd!

Wow! You're right! I didn't do anything, so it definitely wasn't me.  :o

OK. Just checked the settings for the Update Prospects profile and it seems that someone changed it to not only "Profile" but "Search Results" as well! I just tried that in my system and Viola! it worked!!

I guess it's just a matter of updating the instructions at: http://wiki.civicrm.org/confluence/display/CRMDOC32/Batch+Update+via+Profile

Thanks to whoever did this for me!!

Oh no!

I'm getting this error:

Fatal error: Allowed memory size of 67108864 bytes exhausted (tried to allocate 76 bytes) in /home/gingerfe/public_html/includes/cache.inc on line 33
Imagine this is just trying to do 76 records.  :'(

Have to run, but will try again tomorrow.

The initial problem is caused by a bug in the code that's evaluating which Profiles to show in the drop-down. The reason it started working is that I added another field (details below). I've filed an issue for it here:

Meanwhile - I got things to work by adding a field whose "type" is Individual to the two fields you had already defined on the demo (I add added Current Employer, but you can add any field where you first select "Individual" and then a specific field in the Create Profile Field form.

If your prospects are all Individuals (i.e. not Households or Orgs) - you could also work around this by re-build your custom field group as Used For = Individuals instead of Used For = Contacts - but I suspect that won't make sense for what you're doing.

No no, it was me, it was me  :P

Um - actually I expect it was Dave's 'individual' field - unless V got hers working without that.

But to explain, reason I added 'Search'  was because I wanted to check whether the fields would expose correctly in the Search Results (which you find top right of Adv Search) - also requires setting fields to Public and show in Results Column

I was having the same problem for a profile that I wanted to use to update Contributions. I had included a bunch of Contribution fields, plus Individual>First Name and Individual>Last Name because I wanted to see who the contributions were from. It turns out CiviCRM includes the donor information on the batch update form automatically, and in fact it won't list the profile as a choice in the Batch Update drop-down if you've included fields from the Individual. Once I removed those fields, the profile showed up in the dropdown.
