Sharing first and last name
October 02, 2009, 10:06:03 am
I just installed civiCRM last night.  Right off the bat, I noticed that civiCRM adds additional fields to the Drupal "Create new account" page, which is awesome.

But the form says "First and last name will be shared with other visitors to the site."  I would like to NOT share this info with anyone not explicitly given permission to access the civiCRM back-end, and I would like to reassure users of this.

I have poked around the configuration settings and the "Name and Address" profile, but I can't seem to find any way to either limit sharing of the information or change the text in the form.

Is this even possible?  If so, could someone kindly just point me to the right settings?

Thanks.

The fields AND the message you're seeing are really 'sample' settings for a particular profile (embedded form). You can modify which fields are included AND change the messages (which is just an example) by going to Administer CiviCRM >> Customize >> Profiles.

Click "Fields" link on the "Name and Address" profile. Then click Edit on the "Last Name" field - and modify or remove the "help" text there.

For more information on profiles do check http://wiki.civicrm.org/confluence/display/CRMDOC/How+to+Create+Profiles
.. and the Collection and Sharing Data section in the online book:

I edited the profile to not publish the data to the public, but it still has the "First and last name will be shared with other visitors to the site." and "Your state/province and country of residence will be shared with others so folks can find others in their community." warnings on the form. I need to get those off the form. How do I do that?

I have suggested elsewhere that I think it is risky having the 'default' or 'sample' set up result in this information being public. We have come across civi systems where this has never been looked at and as a result the organisation was inadvertently sharing its list of contacts for the world to see.

Can we please discuss getting that default setting changed - maybe rename the existing Name and Address profile to Name and Address (exposed) and have a non-exposed Name and Address profile that is the one the system default uses.

Note that in more recent version of civicrm (definitely 3.2 and later), profile listings and forms permission was not set by the installer for anon / auth users. So unless the user changes that permission, the information is not public

That said, i do think that we can and should tighten profile permissions even more. Considering we use profiles in quite a few workflows, might be good to create something like: "Workflow profiles / CiviCRM Internal Use / Choose your favorite appropriate name" that are not exposed to the public (unless marked as standalone form / directory also). i.e. we need to seperate the many "workflow profiles" we are using from some potential public profiles

If anyone is interested in working on this as part of their 4.2 battle plan please contact us on IRC and we can help u get started.

Any chance you might share the answer. I can't get rid of the messages. I'm using a new profile and I even deleted the default Name and Address profile.

I think what he figured out was that he had to edit the post-field help on the Profile Field for Last Name etc that were used in the Name and Address profile.

If anyone needs to check their site for public fields - here's a handy SQL statement:
Code: [Select]
SELECT g.id AS group_id, f.id AS field_id, g.is_active AS group_active,
f.is_active AS field_active, title AS group_title, field_name FROM
civicrm_uf_group g JOIN civicrm_uf_field f ON g.id = f.uf_group_id WHERE
visibility = 'Public Pages and Listings';

You can change fields in the default profile to being private with:
Code: [Select]
UPDATE civicrm_uf_field SET visibility = 'User and User Admin Only'
WHERE uf_group_id = 1 AND visibility = 'Public Pages and Listings';
