Sharing Custom Data Groups
November 26, 2009, 02:02:19 am
Hi

Is it possible to create custom data group like "member contact details" and then have that group utilised by "members" and also by, say, "suppliers"? Or, do I have create the custom data group "members" with its own contact details fields, and then create the "supplier" group with its contact details fields?

Thanks and regards,
Ryan

It depends on what type of record "members" and "suppliers" are in your setup. If the custom data is about the "person", the the custom data group is "used for" Individuals and will be available for any individual contact record. You can also set "used for" = Contacts and then the custom fields are available for any type of contact record (individual, organization or household).

In 3.1, you'll be able to define your own contact "subtypes" (perhaps "members" and "suppliers" are 2 subtypes of Individual). AND you'll be able to share custom data groups with multiple subtypes.

Hi Dave

Thanks very much. You've cleared some things up for me.

Do you see any problem with me having defined "members" and "suppliers" as being "used for" memberships? Would it make more sense for them to be used for contacts? Just wondering what the implications are further on down the line.

Hard to comment w/o understanding your processes and business rules. In general you'll want to ask if these fields are really describing a particular membership transaction OR more generally describing the contact regardless of a specific membership they might have.

You can not change this association once you start adding data, so it's important to think this through at an early stage. You should browse the sections on custom data in the online book for some more guidance / examples:
