Looking for ideas on how to best do email follow-up
February 18, 2010, 08:26:24 pm
I do a mass mailing with a link to a Drupal webform.
About 20% of recipients open the email
About 30% of these ( or 6% of total) show as having a click through
About 30% of these have completed the survey.
Any ideas on how to best
1- Send a reminder to the 80% who have not opened the email (and only to these) (data in CiviCRM)
2- Send an other reminder to the ones who have opened but not clicked on the link (data in CiviCRM)
3- Send an other email to the ones who have clicked on the link, but not completed the survey (data in CiviCRM and Drupal)
4- Send a thank you to the 2% who have completed the survey (data in Drupal)

Thanks

Eileen

Just a quick note.

The number of people who show as opening the e-mail is less than the true number. Their e-mail client will determine whether you are advised that it has been opened

Interesting questions. And agree with Eileen re the 'open count' - my estimate is that is well under half of who read.

Even 4/ isn't straightforward that I can see since the table Webform provides is only username, so then you need some trickery to yank out the email addresses of those so you can tag them in civicrm so you can email them again. Keen to hear who knows some tricks for this.

Eileen: true, thanks for the info. I will have to be careful in the wording of the email.
peterd: I had thought about this, and included the email as a hidden field in the webform, so it should be somewhere in the db. Is it easily available as token for example to CiviMail?

About 20% of recipients open the email

We do the open tracking by embedding a 1×1 pixel transparent image in the HTML part of the email, so – as others noted – this will almost always miss some of the recipients (who are offline when reading, who have their client configured not to show external images, who have the client set to show the text version of the email by default, etc.).

You need to look at the contents of the civicrm_mailing_* tables. _job is about the runs taken to deliver the mailing, _event_queue notes events, and the other _event_* tables say what kind of events these were. A sensible join across these should do the trick.

Hm. Import this as a custom data field to CiviCRM and create a smart group, maybe?

So that was good thinking. Still a roundabout solution but export the webform results, grab email address, import and group. Use that group "to send a thank you to the 2% who have completed the survey (data in Drupal)"
Or maybe I am missing your point as I don't know why you raised the token issue.

peter,
Yes that would work, but it is still a lot of manual operations. I was trying to setup a process that I can use recurrently or even have users use easily.

what you are trying to do sounds very much like a DRIP campaign (based on my primitive understanding of it).

http://www.google.com/search?q=DRIP+campaigns&ie=utf-8&oe=utf-8&aq=t&rls=org.mozilla:en-US:official&client=firefox-a

CiviMail / CiviCRM does not support this (as yet), but would be great if you could help set up / automate this and in time figure out how to generalize so we can move it into core
