Automatically CC Contacts for Organization Message
March 04, 2010, 07:59:04 am
I have a client with this requirement: They need to be able to designate certain individuals as "CC" contacts for an organization. Being a CC Contacts means you get copied on all emails sent to the organization. It also means you need to get copied on all physical letters, as well, but that's not a CiviMail question exactly. It doesn't appear to me that there is any way to do this in CiviCRM without some custom code, but I just want to double-check. Anyone have ideas of how to do this? I can, of course, create a CC relationship between certain individuals and organizations, but I don't think either the email or search and export CSV (for mail merge) features support including these contacts in a result. Ideas?

Thanks,
Wayne.

Wayne - Who are the direct addressees for emails to these organizations? How are the contact records targeted for mailings? Depending on answers to these - you could potentially record the 'CC' relationships and then simply make sure those contact records are included in target mailing groups list. (You can have a smart group of all contacts with relationship-type = CC, for example, and include that in your 'Included Groups' when creating mailings.)

Not foolproof, but might be good enough :-)

Sounds similar to what we are doing.  We do mailings by region based on a smart group, but I manually add myself to each of the other regions.

Yeah, that sounds good, though I think this client wants to have the mailings addressed to the organization, but mailed to them. So, contacts would expect to get a letter to "Dear Acme Corp", and that might go out to two or three different contacts. So, I'm not sure the Smart Group way will actually do that. I think it will still treat the contacts as though they were individuals.

You can set postal and email greetings for the CC individuals to their organization name (using the Custom Greeting option on their contact records).
