RFP: Identification, Customization, Data Migration and Training

Proposals requested by March 31st for Priority Start Date

Goal:
YES! is seeking to identify a web based donor contact management system that meets our objectives and desires (below) and then migrate our existing data to this system.

Phases:
1. Identify product that best suits YES! needs as well as identify ongoing technical support needed to maintain system
Possibilities identified (but not limited to): FileMakerPro 10.0, CiviCRM, & Convio Common Ground
2. Design, Install and set up to best meet YES! staff needs
3. Migrate data from filemaker and other sources (see below)
4. Train staff in using software; specifically in the ability to update and maintain database
5. Available post-training to address any “kinks” or adjustments that are identified in day-to-day use.

Objectives:
New web-based database will contain all organizations contacts, their relationships to YES! and each other, as well as automatically integrate constant contact updates.
Specifically:
➢   Contacts (including biographical data) and type of contact (relationship to organization)
➢   Communication Logs (meetings, calls, email, newsletters etc…)
➢   Participation Logs for each event/program attended. Track those that have been invited, rsvp’ed (yes or no), attended, and any event notes. Also indicate names of guests and link to those records.
➢   Donations, Pledges and Leads
➢   Relationship Links (for example, partners can have their own records, but they are linked together, with a “soft credit” gift if one partner writes the check but we want to know about it in each person’s record. Or we want to know that folks have other relationships – not just life partnerships – like kids, parents, siblings, collaborators, etc.)

Desires:
➢   User friendly
➢   Personalized dashboard for programs, finance and development staff to access regular and customized reports.
➢   Compatible, accessible and integrated with our drupal-based web site (yesworld.org)
➢   Easy search features
➢   Email address field can populate many List Serves and be changed once for all lists
➢   Logical interface with quickbooks
➢   Ability to make multiple request searches and reports
➢   Ability to integrate existing drupal based alumni database
➢   Ability to integrate constant contact updates to email addresses and all complementary preferences

Current Configurations:
FileMaker pro 6.0 (not pro server), Constant Contact, Ipswitch Mail Server: Imail , 123 sign up for event registration.
