What is the best mix of tags and groups for an annual tournament/event?

Newbie trying to figure out the best way to organize annual 3-on-3 basketball tournament data.
We have 100's of teams in 30 different divisions for children through adult, men, women, etc.
It's important to be able to quickly sift through all the athletes and get the teams by division.

People sign up with a coach and three players. Next year a player could be on a different team.
They also pick a division like "Men 40 and older" at that time.

My thought is:
Tags = years so it's easy to quickly focus on the current year...or get past year for marketing purposes, etc.
3on3 team = organization
Groups = assign organizations into divisions (they pick this on the signup form)
Smart Groups = ??

Any suggestions?

What will it take for a 3on3 team to sign up?
1-team
4-contacts
ALL must be filled in for the registration to be complete.

I can see where I'm missing the point already.
> Event = 2010 Tournament > Can search by 2010 attendees and make a smart group.

Tags would be Athletes or Volunteers, officials, etc.
Groups would be divisions of players.

1. IMO, CiviCRM is not the best system to structure this. However, i dont think there are other systems there that will make it easier

2. CiviCRM has got quite a few of the concepts needed. You will however need to use some custom fields and various hooks to get the behavior you need

if you are not a programmer / developer, your best bet might be to hire someone / find a friend :)

Thank you for sharing your thoughts.
I am a website developer.
My first Civi site was for a politician so event registration wasn't a factor.

I understand the information architecture of the data I want to manage.
My questions are more about the most efficient way to use the tools available in CiviCRM.
