Problems with profiles for an event
May 06, 2010, 10:50:08 am
For our conference, I want people to be able to request a scholarship and have one added field -- a selection list for the type of work they will do for the scholarship.

On my test site, for regular attendees the online registration form uses two profiles: Name and Address and Conference information.

I created a separate event for scholarships. I don't see a way to add a 3rd profile to collect just the scholarship-work selection. So I created a profile that contains all of the same fields as Conference information plus the one more field for scholarship work, and then the oline registration uses the two profiles Name and Address and Conference Scholarship.

The forms work OK and the registration process is OK. But when I want a count of how many people said "Yes" they'd stay for the reception, it looks like I need to do two searches -- one of Conference information and one of Conference scholarship. I tried searching for "I plan to attend the reception -Yes" on both profiles, but the results are ANDed so I don't get any.

I'm now recreating everything on my live site and decided to try using just one profile for regular attendees using the fields from both Name and Address and Conference information. I put in all the Name and Address fields, but when I put in a searchable field from Conference information I got the message: "Oops. One or more fields in this profile are configured to be Searchable and / or shown in a Results Column, AND you are trying to add a Participant field. Profiles with a mixture of field types can not include Searchable or Results Column fields. If you save this field now, the Seachable and Results Column settings will be removed for all fields in this profile."

So I'm going to set things up on the real site the same as the test site and once we're able to start registering people, I'll look into ways to do more advanced searching that would let me "OR."

Do you have any other suggestions?

You can see what I have. The regular registration form is at http://test.nccommunities.org/civicrm/event/register?id=8&reset=1 and the scholarship form is at http://test.nccommunities.org/civicrm/event/register?id=10&reset=1

If you login as demo with password demo, you can search for participants and see what I'm looking at. I'm going to want counts of how many said Yes for the reception and how many are most interested in each track (there are only 3).

I'm running CiviCRM 3.1.4.

I think I've got things set up correctly now on my real site. It looks like search fields come from custom data, not profiles. I had set up a custom data group for scholarships with ALL the conference fields. This time the custom data group has just one field, volunteer work, and the profiles use the same custom data fields for regular registration and scholarship registration, the scholarship profile just has one more field.

I haven't tested yet, but I think I have it set up right this time.
