Mailing labels and addresses
May 14, 2010, 01:04:56 am
Hello! I've just advocated CiviCRM in a company I'm involved in here in the UK, and have set up a trial system for them with some data in. I was just about to demo printing out mailing labels when I noticed a problem!

The majority of mailshots we send out go to individuals in a work capacity, (primary mailing address is Work) although we send to some people as private individuals too. When I printed out mailing labels, I got a lot of entries like this:

Mr. Joe Bloggs
Commercial Towers
Main Street
Anytown

Oops! There are lot of companies at Commercial Towers, and it would be good to specify which one we're sending to, so I'd like to put the employer in there. Looking at the help screen for the address settings, it warns me not to put {contact.current_employer} in the mailing labels format, it should go in Individual Name Format instead - but it looks like Individual Name Format is gone.

The other snag is that I don't want to put the current employer token in there when we're sending to people as private individuals - I obviously don't want to see

Mr. Joe Bloggs
XYZ Grantmaking Trust
123 Myhome Street
Anytown

I only want the employer's name in there when we're sending to an individual at their work address.

Is there a good way to do this? I can't find one.

Hey there,

The part of that help text that refers to  out of date.  As far as I know, the Individual name format has been superseeded by improvements to addressing, which you can find at:

http://drupal.demo.civicrm.org/civicrm/admin/options/addressee
http://drupal.demo.civicrm.org/civicrm/admin/options/email_greeting and
http://drupal.demo.civicrm.org/civicrm/admin/options/postal_greeting

I've updated the help text so it now reads "Current employer name as specified on the individual's contact edit form. Note that this field is only available for contacts which are the contact type individual."

It is fine to use the current employer field in this situation but it doesn't solve your problem of having it only available for people's work address, I'm afraid.

Depending on your use case, it might make sense for you to turn on and using the Address Name field
http://drupal.demo.civicrm.org/civicrm/admin/setting/preferences/address and using that to store the individual's current employer in their work address.
