Mailing to household with prefixes from Individual records
June 17, 2010, 07:55:53 am
I am trying to send a mailing to a mixed set of records: Individuals and Households.
Here are the requirements:
1) 1 mailing per address
2) Formal salutations (Mr. and Mrs) for some addressees, but not all.
I know that I can add Mr, Ms., Mrs, Dr. to individual records and mail with the prefix to the individual record.
But in this case, I want to mail to the household record to save postage and trees.

For example: Individual records are Dr. Benjamin Spock and Mrs Marjorie Spock ,
and the Household record is: Benjamin and Marjorie Spock. Salutation on the mailing to the household record has to read "Dr and Mrs. Spock".

Is there a way I can mark the individuals record with the right prefix (eg Dr.) and THEN select the 'household' record and have it
pick up the prefix from the individual record for the mailing salutation?

Or do I have to create the appropriate salutation in the Household Record, in the Nick Name field for example?

Any help would be much appreciated!

If you're using current release (3.1 or 3.2 beta) you can set appropriate salutations for each contact (both Indivi and HH) using the "Postal Greeting" and "Addressee "fields. With this field you can select one from a set of token combinations (which you can manage from Administer >> Option Lists) or select "Custom" and enter a "hard-coded" value for that particular contact (which is useful for the occassional case where no combination of existing field values can be used to get the desired value).
