Streamlining adding employees to an Organisation
November 07, 2007, 04:49:53 am
I'm trying to persuade a charity to replace their ancient Windows-based membership & events system with CiviCRM. One thing they like about their current system is that after adding an organisation, they can go into the Org record and add its contacts/employees quickly & easily. They found the CiviCRM workflow cumbersome by comparison:

create Org;
Repeat:
    create Ind,
    click Relationships,
    click add,
    select relationship type,
    search for contact,
    select contact,
    save relationship
Until done.

I'd like to set up something more streamlined for them, ideally:

create Org;
Repeat:
    create Ind as Employee of Org
Until done.

Has anyone done something similar? I'm wondering whether this could be best approached by customising contact forms or via profiles & how much work it would be.

Thanks,

Dave J

I guess we might get into a similar issue.  We have hopefully thousands of activists working for access to health care, many belong to important groups like unions, churches, political parties, house and senate district areas.   I had thought we would have fields to catch this information, but perhaps relationships might be the way to go, but as you indicated might be time consuming to enter.

Instead of  adding the individuals to an organization one by one, why not do it in batches? You can take a contact(all entries or maybe all found by a search) and select each contact(from that list) that you wish to add to an organization and then choose the option( Add contact to organization) and hit the "GO" button. You are then brought to a screen where you can define the "Relationship Type" and the "Target Organization" All those contacts would then be added to the organization

You can also enter the Organization name in the Current Employer field when creating the Individual. This will create the employer-employee relationship automatically. HOWEVER, this feature requires that the employer name be entered exactly - and doesn't handle multiple employee organizations with the same name nicely (there's no mechanism for specifying the correct one).
