Improving the standard workflow event creation -> sending a promotion email
September 16, 2010, 11:56:12 am
Hi,

in most of the cases, you'd want to send an email to promote the event as the next logical step after having created it.

Right now, it means having to jump between the existing event and a new mailing to copy paste the name of the event, some practical details, the url, the url for registration, amend the url to add the checksum to the contacts get the registration form prefilled...

Tedious and error prone, and frustrating to have to copy paste something that is already known from civicrm!

I would imagine as an improvement to have on the mail composition (civimail or send an email) with a new line:
Insert: Invitation (gmail inspired)

You click on it and can select one of the forthcoming event, once you choose one, you get extra token (event name, eventurl, eventregistrationurl, eventinto...)

Added bonus: inserting a vcard (or whatever the format in outlook/gmail) where the recipient can directly click to accept or decline the invitation and it automatically get registered as a participant with the right status.

What do you think ?

X+

P.S. Don't think that's that complicated to implement, adding a new entity_id, entity_name (so far civicrm_event, but might get extended in next versions for petition, case...). The compose message form contains these two fields, hidden and with a bit of jquery and existing apis, you fetch the event, add it in the hidden field and add the tokens.

Seems pretty cool. I guess you'd want to be able to save these "Invite" emails as message templates (with the event tokens included) so if you have a standard approach to formatting an event invite you could reuse it and just pick the relevant Event.

Prompt for the user probably should be specific, e.g. "Event Invitation", "Petition Invitation". etc.
