Search for our org returns hundreds of matches, gulp...
October 26, 2010, 07:03:43 pm
CiviCRM 3.2.3 on current Drupal 6.x

Search \ Find Contacts \ enter our org name > search button

Brings back hundreds of matches!!! :o

We had someone at our org enter data for / on behalf of all of these other orgs. Since the user ID that entered the data originally is associated with our org, is that why searching for our org name returns so many hits?

How do we clean up this mess? Searching for our org name should only return our org name.

We were originally trying to set up an additional membership type, typed in our org name for the membership organization, and got back "too many search results" is how we first found something was wrong.

Addl details: we currently have around 400 organizations within Civi, and searching for our org name returns 200. Looking at the records, we can not see why they would be returned as a hit for our org name. Then I got to thinking that perhaps it has something to do with the id that entered the data, and the search does not do a simple string match of the org name fields.

More Addl: The Search results page comes up with text: "Name or Email LIKE - 'Our Org Name'" and clearly the name / email fields of these records have nothing to do with 'Our Org Name'

Sounds strange, but hard to check from a distance. Do you have any MySQL expertise? Can you check what is in the tables? That would be my first step....
Your idea on the link with the user ID would seem unlikely to me, but it is something you can try on the demo site, assuming you do not have a customised search function?

hi - i wrote this then didn't post - there have been issues in past with search on org treating each text string as separate so eg if you search Selenium Council it will also return Chromium Council etc

so anything odd about your org name? does it have something like 'the' in it - do the others?

i don't think this will be searching on other fields

Wouldn't it make sense NOT to use this ?

at least in autocomplete ?
(eg. now if I'm trying to add an individual with the current employer as selenium council, will get all the councils, and if they are more than 20 that have Abbacus ouncil, Baobab council... then Selenium is never displayed, even so that's the only perfect match).

Do you have any MySQL expertise?

Yes, and I would LOVE to see the SQL being executed for this screen.

And, no we have not customized the search function. I came across references for doing just that. I think it bazar to customize something to make it work properly.  ::)

ssiigghh... The work "in" happens to be one of the words in our org name....

I was thinking it was searching for a sting match, not doing single word OR matching.

Do we need to toss quotes around the string since it is a multi-word string?

I agree it would be bizar, just checking before we all assume you use the core version and it is not so :-)

Re: [WORK AROUND] Search for our org returns hundreds of matches, gulp...
October 27, 2010, 10:33:18 am
Indeed tossing double quotes around our org name returns only our org name in the "Find Contacts" interface and it also corrected the trouble setting up an additional membership type as there the query also returns only our org name.

"Good to know" how Civi 3.2.3 is working under-the-hood. Civi 2.0.7 on Drupal 5, we could simply search for our org name without quotes, or even by entering the first word of the org name... "seemed friendlier back then" I am hearing from the application people.

I acknowledge that perhaps if you are searching for something you do not recall the exact name of, perhaps this v3.2.3 is helpful.

Bingo - may not be a perfect work around, but at least it offers something to work with. I recall this bugging Xavier in the past
