Imported Membership Dues and Membership Report Summary
November 18, 2010, 03:44:52 pm
I am currently setting up my first CiviCRM install - it is all going well apart from one issue I am having that I can't work out:

I have imported the data from a previous Membership database in a 3 stage process via CSV files:

1. Imported all Individuals into Contacts
2. Imported all Members - linked to contacts using External ID.
3. Imported all Contributions (Member Dues, Contributions etc). Again linked via External ID

This all works fine - If I check the individuals All their contributions are there with Membership Dues from previous years present.

However when I run the Membership Report Summary by join date - the member counts are correct but Total Payments made are all 0.

If I drill down and look at a particular month e.g. September 2010 - and pick a Member Check their contributions - their Member Dues are there, have a received date in that month and are in Completed status.

Any ideas as to why this is not being picked up by the report? (Probably me doing something dumb!)

Note that if I manually add a new membership payment it does appear correctly in the report.

Cheers,

Pieter

Eileen can hope shine the light on this - but importing as above does not afaik make the critical link between the Memb and the Contr - and hence if you check on any of your contacts dashboards, you won't find a RENEW NOW for the imported ones, but you will for new ones - would that be correct?

Thanks for the reply Peter,

Sorry being new to this all I am not sure exactly what you mean by Contacts Dashboard.

If I go to an imported contact and Click on Memberships - there is a membership there. When I click on the more link it does gives me the option to renew the membership. Is that what you mean?

hi - we were all new once

if you click on ACTIONS on a contact record - you see a Contact Dashboard link, which is a page that your contacts can be allowed to visit which summarises their Memberships, Donations etc

Got it - Thanks. There is a lot to learn....  :P

Yes you are right there is no option to renew.

Do you know if it is possible to make the membership payments link to the memberships (via an import)?

as I said - we need Eileen to flesh that out - but think she could only do that by importing using her Table Wizard trickery that is outlined in a blog somewhere - can be done in back end via some sql but not sure if we have that to hand - would be a handy resource

Eileen's answer is basically that you need to create records to link them in the Membership Payment table - not sure if that helps you at all - is best she can do now

Re: Imported Membership Dues and Membership Report Summary

I think I have solved it with the following SQL:

INSERT INTO civicrm_membership_payment (membership_id, contribution_id) SELECT membership.id, contribution.id FROM civicrm_membership membership, civicrm_contribution contribution
WHERE contribution.contribution_type_id = 2
and contribution.contact_id = membership.contact_id

I think this is correct assuming that:

1. There are no records in membership_payment
2. Each contact only has 1 membership

Only thing is that the Membership Summary report shows all the Membership dues the person has payed all rolled into the date that they originally became a member - is this how it should report?

Good work if that has done the required. Would suggest you make up a contact with a load of payments for renewals going back a few years and see how that compares in the Report compared to your imported and SQLed ones.

Thanks Peter - seems to be the same as any that I create and renew - so looks good.
