CiviGrant - using CiviCRM to track Grant Application and Workflow

Hi all,
I wanted to run this by the community and get any feedback.  I also wanted to see how others have used CiviCRM for foundation fundraising.

I need a system to track our organization's foundation grant workflow.  As we're using CiviCRM for more and more of our operations, I'd like to use CiviCRM for this as well.

I came up with the following plan...

1. Create custom data as tab for organizations called "grant information" with the following fields:
  • Do we qualify for grant?  Yes, No
  • Status: Open, Assigned, Applied, Granted, Denied, Closed (select box)
  • Deadline: Specific Date or Rolling (select box)
  • Deadline Date: (date)
  • Assigned to: contact name (it would be great to actually have this connected to the individual)
  • Notes: (note field)
2. Create Smart group with foundation and company tags and do we qualify field marked as yes.
3. Create custom profile limited to this smart group that would used as a profile (ie directory of grants in process) and as a form to post new and potential grants.

This isn't super elegant, I know, and it doesn't actually track tasks associated with the grant application.  It's something though.  We don't need a sophisticated system at this point, as we don't actually have that many grants.  It helps just to have an overview of grants to apply for.  But I could see using this same type of custom data and profile for our sponsorship fundraising which we do quite a bit.

Hey organicathlete,

There is actually a component called CiviGrant available, it is going to show up in CiviCRM 2.0, but from what I understand, your needs are exactly opposite to those offered by the component. Originally, CiviGrant is supposed to provide functionality to track small grants that are being granted by your organisation to your constituents.

My understanding of your grant tracking needs is that you are planning to use CiviCRM to track grants received by your organisation from external sponsors - in such case, the solution you described seems pretty fine and effective.

My only remark would be to try a custom activity type for storing grant information. This way you could have multiple grant occurrences associated with single contact, which might be more effective. On the other hand, you might not want to run two simultaneous grants from one grantmaker, in which case the solution you describe should be just fine and actually slightly easier to implement.
