Hello, I am new to CiviCRM and I am really impressed with what I have seen so far. I work for a member-based non-profit organization that supports libraries and cultural organizations in the US. We are looking at CiviCRM to possibly replace our aging registration system for our continuing education program.

There are a couple of things I would like to ask about – whether they are currently being developed for future releases and/or would be possible with funded development. I have seen some of these features mentioned in various posts, so I apologize for any duplication. Some of the posts are somewhat old.

1 - Conference/nested events – we not only have classes and workshops, we also have a handful of conference type events and would really like to be able to have a form to that would allow the participants to select sessions (individual breakout sessions). I found mentions of a CiviConference module, but it seems to have been abandoned.

2 - Define which custom data is available for the public (those registering) and have some custom data only available for administrators. I have been able to add the custom data fields to the form for participants, but when I add custom fields intended for internal use (we have various things we need to track for our events), they show up on the form. I have tried to set up ACL rules for this set of fields, but they still show up on the form. Any ideas?


Also, I have run into a little problem – I have added some custom fields that are attached to each registration (related to payment method). When I view the registration in the system and open it up in edit mode it duplicates the field. On top of that, only one occurrence works. Looking at the table for these fields I only see the data once. This maybe more appropriate for a different thread.

Although we are still in the investigation phase, we really like CiviCRM and would really consider helping fund efforts to bring these features (and maybe others) to the community. Since I have seen some posts talking about these features I thought I would ask to see if there are plans in the works for these or if others would be interested in helping to  fund them (I have no idea how much these might end up costing).

Just to follow up to my post – After reading forum posts I figured out how to solve #2. I basically hid all custom fields and used some ACLs to show the field sets I wanted public (opposite approach from my initial attempt).

Regarding #1 – I noticed that the ability to add more than 2 profiles to an event template is in the queue for a future release. I think this would solve our issue and be a great added feature. I also read in a post a reference to a way to customize the event template to add more profiles, but I can’t seem to find anything else about it. If someone knows a way to do this now, please let me know. Also, if this feature can be moved up in the queue to a sooner release, please let me know. I can see if we (my org) can contribute to help make it happen sooner.

The issue of a duplicating custom field set is still occurring. If it continues and I cannot find a solution I will submit a ticket.

Anyways, I want to say thanks to all those in the CiviCRM community for all the resources available and to the developers – this system is really impressive.

if i had to estimate, changing the event/contribution pages to handle more than 2 profiles is probably a 30-50 hour project. If your org is willing to help sponsor this feature ping us on IRC / email

regarding 1, you should check out price sets. You can do multiple session tracks with that relatively easily

you should also skim thru the book for the sections on profiles and custom data:

and read up on profiles. profiles are exposed to the event registration to the user, custom data is exposed on the backend

Thanks for the response. I will check with my manager about contributing and will send you an email. We are in the middle of a FY, so I am not sure when these funds will be available. Just curious, what $$ range would 30 – 50 hours be?

I will take another look at the manual. Our situation is this – we have a number of online conferences throughout the year and these day-long conferences have 2-3 breakout sessions per hour. We want/need the attendees to select their preferred breakouts for each hour. So it is not so much a pricing issue. Currently I have added 2 profiles on the event registration page; one for defining their pay later payment method (we have a number of ways for them to pay) and one for them to submit their organizational information (our memberships are organization based). My idea is to add another profile to contain the conference sessions for them to select.

Regarding the custom fields issue, both of these profiles we currently have on the registration form contain custom data. We also have added custom data fields to record internal data, so that where I was running into a problem.

I thought I would pipe in here....

I'm in the planning stages of yet another Drupal/civiCRM site and I have several tough areas to work out. One being continuing education, logging/reporting of educational activities. Has any progress been made on this front? If not, I'll be looking at this in the near future and will be happy to share what I come up with.
