Added a profile with additional fields, where is the data?
January 11, 2011, 10:30:53 am
I created some custom fields and added them to a profile which I then added to the top of an online registration page. The fields show up on the registration page and I am able to fill them in and submit the form. I cannot seem to find where this info ends up. I have looked at all of the event reports but I only see fee and participant data, there is no data associated with the added profile anywhere that I can see.

How might I be able to access these data?

Thanks!

Are these fields set up for Participants, or Events, or Contacts?

The data set is set to be used for Participants. With the actual fields themselves, I see no option for Participant, Events, or Contacts.

when you create Custom Data Groups you specify what they are to be used for - and therefore where they show. For example, Date of Birth is a characteristic of an Individual - so it is set only to be used for Contacts = Individuals. Emails on the other hand can apply to Individuals and Orgs so is set for all Contacts.

What someone wants to eat at a Conference, or what plane they arrive on, pertains to them as a Participant, not as an Individual since what plane they arrive on is specific to each Conference.

I am unclear what your fields are set as, so can't advise where you will find the data. IF it is Contact data then you will find it either on the Contact's Summary screen, or on its own Tab, if you set it to be Tab not inline.

If you set the fields to be for Participants, then the data should show on their Participant Record.

First, thanks for the help. I really appreciate it.

I created a Custom Data Set called "Additional BWB Info" and set it to be used for participants. I then created custom fields within that set. When you say:

"I am unclear what your fields are set as" I assume that you are referring to the Custom Data Set and not the actual field itself as I saw no way of setting the fields themselves, only the Data Set.

As far as what you are calling the Participant Record, are you referring to going to Reports > Event Participant Report (List) or is this a report that I should be finding elsewhere?

Thanks again

HI - okay so you have fields displaying in a Profile - the fields are part of a Custom Data Group that is set for Participants. So when people fill in the form, those fields will display on the Participant record for that Contact.
So for eg. go to Find Participants, find contacts who have registered - click through to one of the contacts, click on the Event Tab on their record, click on the Participant Record for that Event, and you should see the fields displayed there. (there is probably a link directly to the Participant Record from the Find Participants Search Results screen but don't have one in front of me to confirm)

Does that help? Or am i still missing the problem?

If you go here on Demo you will see a contact that has 'soup' set for the Food Preference for an event

I am having a similar (I think) problem.  I have set up custom event fields, and created a profile that includes ONLY participant fields.  I would like to be able to search and display using the fields specified in this profile.  However, it is not showing up in any of the 'view' areas of "Advanced Search" and there is no view option at all under "Search Participants".

How can I use a profile to out put fields/columns in participant searches?

Thanks,
Maria

I have set up custom event fields

1. Hopefully your custom fields are Used For "Participants" and not events (since I'm pretty sure you're extending the participant records).

2. You can't use a profile to modify the columns displayed by Find Participants search form. However, you can search on participant custom fields from Find Participants (and Advanced Search) as long as those fields have the "Searchable" checkbox checked.

Some options if you really need to have your custom fields in the "display" columns:

1. Check out the Event Participant Report - this report can include any "searchable" participant custom fields in it's columns (and also filter criteria).
2. Use export from Find Participants
3. Create a new custom search which does exactly what you need (requires some php and mysql skills).
