Hi all,

We've got a client who is using Register multiple participants? - which is working fine - except that there's no correlation after-the-fact to see who, the one registering, has registered...is that correct? I.e., John Doe register himself and two friends, Milo Bloom and Elmer Fudd. If I search on contributions I can see that he did multiple registrations, but I don't know who's associated with his registration/payment.

Or am I missing something?

Any thoughts would be most appreciated.

Well darn...now the client has noticed this issue and is asking how CiviCRM connects the person who registers multiple participants with the folks they register. They are holding 1) a golf tournament and the participants are all team members, so they need to know who connects to whom; and 2) they are having a fund-raising ball where a registrant can register up to 10 people and buy out a table - so they all need to be connected so that the administrators know where to place people.

Is there any way to do this?

Or at the very least, can the list of the multiple participants be included the notification email?

Fear not, Vanessa - this is all do-able.

Just go to Events>Manage Events>[Your Event]>Participants>Registered, Atended, Etc

Select All [however many you have] Records and choose 'Export Participants' from the 'Actions' dropdown.

On the next page, choose 'Select fields for export' (you can save this for future reports), then continue.

It's up to you which other fields you want to export (names, emails and phone numbers from the Individual list seem wise) but the one you're after is: Record type = Participant ---+--- Registered By ID.

Export this spreadsheet and you'll see a column which gives you the Registered By ID for every participant. NOTE: this isn't their contact ID but the Participant ID, so you'll have to cross-reference the contents of this column with the Participant ID column (which will be in the spreadsheet whether or not you selected it - it's a default).

Regarding the notification email, that's do-able, too.

Just go to Events>Manage Events>[Your Event]>Configure>Online Regsitration

At the bottom of the form, you'll see a BCC field where you can enter the email address of someone at your organisation. They'll receive the same confirmation email the registrant gets - including the details of ALL the people registered.

RJB,

We developed a work-around using a custom data field called "Team name" that is filled in for each participant. The the admin can search for participants that are in a given team, but if the export is easier for them that would be much easier.

And WAY groovy about all the details being emailed!!!!
