Hotel Booking Page
January 29, 2011, 05:45:02 pm
Hi,

Has anyone ever created a Hotel Booking page in their Event Registration form? Is this possible to do in CiviEvents.

Also, I want to be able to create a Rooming List report that displays all the Attendees hotel bookings and a Room Block Summary report that displays the number of rooms booked per night. Is this also possible?

It depends on what precisely you need. I did a "booking" project in CiviCRM whch you can read about here: http://galleryrobinson.com/blog/ticketingforcivicrm . That particular project required a good bit of custom code.

If you can, provide as much detail as you have for your specific needs.

I'm looking to build a multi page form with a Hotel Booking page and Travel page page. I need to be able to allow the Participants to register their Companions to the conference.  It would be great if there was a Personal Info module, Hotel module, Travel Booking module and a Social Activities module for the registration form but also in the admin site. All the questions would be grouped together in their own modules.

In regards to the reporting for the hotel bookings, see my comments at the bottom and also I've attached a sample of the report.

Step 1 - Personal Information
Step 2 - Accommodation page
Step 3 - Travel page
Step 4 - Social Activities page
Step 5 - Companion registration
Step 5.1 - Companion Social Activities page
Step 6 - Verification page (summary of registration)
Step 7 - Payment page (if required)
Step 8 - Thank You page

HOTEL BOOKING PAGE
Do you require hotel accommodations? Yes/No <-- If Yes, Room Type, Check-In and Check-Out are required.
Room Type: <<one bed / two beds>>
Check-In Date <<date calendar field type>>

Check-Out Date    <<date calendar field type>>

Special Hotel Requirements
Please enter any special requirements you may have below: (i.e. allergic to feathers, foam pillows, etc.) <<text area>>

TRAVEL BOOKING
Closest Airport you wish to depart from: <<drop down list of airports>>

Other: <<text field>>

Driving Time To Closest Airport:   <<text field>>

Preferred Travel Date to Hanoi
(if other than group dates): <<calendar field>>

Preferred Travel Date from Hanoi
(if other than group dates): <<calendar field>>

OneWorld Frequent Flyer Number
(ie. AAdvantage or Alaska Air):   <<text field>>

Seat Preference <<aisle / window / no preference drop down list>>

Additional Travel Comments/Requests: <<text area>>

Will you extend your trip? <<Yes/No>>

NEED THIS REPORT FOR THE HOTEL BOOKINGS
ROOMING LIST - Displays all the Hotel bookings for the conference.

ROOM BLOCK SUMMARY REPORT - Attached sample report that shows the summary counts. These summary counts should summarize how many rooms have been booked for the conference on a per night basis. The second grid is a count based on occupancy on a per night basis.

Your needs are somewhat complex. I would question if CiviCRM is actually the right tool for this job. On the surface, I don't think it is actually. A purely Drupal-based solution (or a hotel booking management package perhaps) would probably be better suited.

Can Civievents be customized to support these requirements?

Which Drupal solution are you referring too? I'm more familiar with Joomla.

Yes, but if you require a multi page form and other functionality, this will require a lot of custom programming.

There is this http://drupal.org/project/uc_hotel but I'm not sure how well it will handle your needs. My guess is actually that you would need a custom solution in Drupal as well. What I meant is that such custom development is much easier in Drupal than CiviCRM.

If you are running Drupal there is a room bookings module by Planyo. This is a subscription service so there *is* a monthly charge.

Thanks for the advise. I'll look into the Drupal solution.
