I'm using CiviCRM 3.1.3 with Joomla 1.5

I have a smart group based on a custom search.  My situation is I have organizations which are members of our NPO (manged via CiviMember), but all our interaction is done with the primary contacts or other employees (individuals), which connection is managed using relationships.  So my custom search looks for all individuals with an employee relationship with a member organization.  From this search I created a smart group.

When I look at the members of the smart group I have 391 results.  In one specific case I can see an individual (I'll call him Mr. X) who has all the necessary relationships, is only related to one organization, and does not have any email holds or opt outs on his record.  Yet, when I create a mailing in CiviMail using this smart group, the result ends up only having 381 recipients.  I know a handful of these are related to a couple different organizations, so I always just figured the difference was in filtering out duplicates.  But now I've discovered that Mr. X is one of those who was left out of the mailing.

Can anyone offer some insight as to why a member of a mailing group would be left out of the recipient list in a mailing?

1. Would be great if you can upgrade to a more recent version and check if you get the same behavior

2. If you enable query logging (via the devel module), you can see all the queries generated when civimail creates the recipients table. Your best option would be to check those queries and figure out the reason Mr. X is not included

I am having a similar problem, except a bit more extreme. I am trying to send to about 700 contacts and only about 300 are showing up when queuing up civimail.

Could this be because of the preferred email address? How does civimail decide which email address to use? I can't find documentation on this on the site or the floss manual.

Any idea folks?

I don't see any issues with the group or mailing settings...

I could check "bulk mailing" for everyone but I don't see an easy way to do that...

CiviMail uses preferred email unless "use for bulk email" is checked for a different email address for that contact. More details on what you mean by "only about 300 are showing up when queuing up civimail." Are you talking about the "Recipients" count showing on the upper right corner for step 2+ in the New Mailing wizard? or ???

(If it's what I guessed, then I think Lobo's suggestion to get a query log is a good next step.)
