Setting up fields properly. Need some advice.
January 02, 2008, 01:00:53 pm
Hey there,

I'm setting up a bunch of conference registration pages where I need to capture the following:

Name of Church
Name of Youth Leader
Address
Phone (Church Number & Cell Number)
Email Address
Number of Students Attending Conference (I'll be making a custom field for this)
Number of Chaperones Attending Conference (i'll be making a custom field for this)

My main question is... I'd like it if I could just have one record in the contact database for all the above information as opposed to having both an "individual" record and an "organization" record.  So it looks like I need to add custom fields for First Name and Last Name of the Youthleader as well as the other fields that are not there by default.  Is this thinking correct?  Any pitfalls to look out for?

If you want to avoid adding Organization:

Name of Church - Custom Data
Name of Youth Leader - CiviCRM Core Fields First Name and Last Name
Address - CiviCRM Core Fields
Phone (Church Number & Cell Number) CiviCRM Core Fields
Email Address CiviCRM Core Fields

Good advice.  As I've been thinking though... Now, if possible, I'd like to track mainly organizations as the organization that I'm working on this site for mainly wants to track churches which are signing up for their events so it'd be nice when looking through contacts to see the organization name listed in the first column instead of first name / last name or even less helpful, email...  Any thoughts on this?  In another post next to this one, I've documented how I'm having trouble having organizations fields showing up at all to users who are logged in.

Best.

can u be more specific as to what screens you are referring to with regard to first/last name. Note that most screens show display_name which is a combination of last/first name OR organization name OR household name
