Best way to have printed invoices?

Hi all,

I hope this is the right place to ask this question. I'm working for a not-for-profit membership organisation, and currently most of the members pay by being sent a printed invoice in the post (snail mail) and sending back a cheque.

What is the best way to offer this facility in CiviCRM? The workflow would be as follows: a member's subscription is expiring and due for renewal, we search for members who are due to renew and print invoices (with covering letter), send invoices off, receive cheques (or bank transfer) back, and log the payment in CiviCRM and our accounting solution. At the same time, CiviCRM should email the member a renewal reminder as well, and offer the ability to renew & pay online. Basically, if the member responds to their email and renews online, then that's fine. If they don't respond to the automated system, then we'll send them an invoice in the post. Sounds simple, but I just don't see any way in CiviCRM to generate an invoice for printing. Could it be done with additional tokens (for how much is due and when) in a PDF letter?

I have searched around on the forums for answers to this question, but haven't found a clear answer (such as this thread from 2007)
