File on Case not working? (or help importing cases)

Hello there,

I've recently upgraded to Civi 3.3.6, and am working on the configuration of CiviCase. I have a bunch of activities (Funding Application) that are already created. I'd like to assign all of these activities to new cases, and then "file on case", all of the existing activities.

When I select 'File on Case', the activity shows up in CiviCase, but all of the custom data has been deleted.

I've got 200+ activities to file to their respective cases, and I'm hoping I don't have to recreate them all one by one. Does anyone have any suggestions / advice / experience importing cases?

Any suggestions would be greatly appreciated! Thanks in advance!

One more note: the activity type, funding application, is not used for CiviCase. Could that be part of the issue?

This sounds like it might be a bug with the File on Case function. Can you try and replicate this with a simple example on the 3.4 sandbox - so we can if it's a general (and not yet fixed) issue:

Thanks Dave!

I went to the sandbox and was able to re-create the problem. I created a custom field for the meeting activity type, and then created a meeting activity for my contact (Tara Penner). I created a case involving my contact, and then tried to file the meeting to the case I'd created. The activity got moved, but the info in the custom field is gone.

Should I report this? Is the issue tracker the right place?

I guess my workaround in the meantime is to try and import the activity information into the case. Is that possible?

Yes - create an issue in the issue tracker w/ detailed steps to recreate. If you have (or have access to) developer skills - please investigate and submit a patch if possible as well. (I think the problem may be that the activity record is being cloned and the custom data is not being copied during cloning.) If you want help getting started on this - ping us on IRC.

Unfortunately there isn't (yet) a way to import activities into a case. Your other option might be to add the linkages via direct sql. Activities will "show up" in a case if you insert a row for them in civicrm_case_activity table (which connects case_id to activity_id).
