Help in sorting Groups

I am using Civicrm for a college alumni database. I need help in sorting the data.

I have created a group called 'Batch of 2008'. Now I need to have 22 fields under it for eg.: English, Maths, Chemistry..(these are basically the streams of graduation.) My problem is that it looks to messy when I have 22 sub groups below the parent 'Batch of 2008'.

Also, I would be having...'Batch of 2007', 'Batch of 2006', Batch of 2005' so on and so forth.

Can anyone suggest a way to sort this out?

Can I have a drop down  instead of displaying the list of all the graduation fields?

What about a set of custom fields (Used for = Individuals, or you can create a contact subtype for Alumni and extend that):

- Graduation Year (drop-down date field, can select YYYY for date format so only year is saved)
- Graduation Stream (drop-down or checkbox - depending on whether alumni can have > 1 stream)

Make them searchable and you can use Adv Search to find folks by year and stream in any combinations. You can create saved searches ("Smart Groups" as needed).

Thank you for your reply.

I have imported most of my data to Civicrm, and have created the custom fields now for eg. the graduation stream.

If it were a group I could select the search list and add them to the group at one go. But since I have created a custom field now Is there a way where I can select many contacts together and update the graduation year custom field for all the contacts?

Check out the section on batch updates via profile:

You create a profile, select the contacts to update through advanced search, & choose to batch update via profile
