Pending from waitlist - does the expiration timeframe apply
May 07, 2011, 09:49:23 am
Hi there. We've got event registrants now who have come off a waitlist and have been sent the email that offers them space in an event. Our only payment method for enrolments is Pay by cheque, so I've set a waiting period of 15 days after which someone who had registered (not on waitlist) would expire. Does this hold true when someone is offered a space from a waitlist as well? If they don't respond within that 15 day period will they be marked as expired? I couldn't find anything in the forums or documentations that covered this.

Thanks!
Chris Hutcheson

Further to my previous post I now see that the pending from waitlist period is identical to the one we've set for receipt of payment - which is 15 days, as we only accept payment by cheque. An ideal enhancement from our perspective would be to be able to set a unique expiration period for pending from waitlist - perhaps even better, if we could set unique periods for any pending status.

Another addition that would be useful for us would be to be able to limit the number of people who can get onto a waitlist. Our programs are popular, and with a class limit of 26 participants and a waitlist of 18, it would be useful to be able to, for example, limit the waitlist to 5 bodies.

I guess this wouldn't be such an issue if we could accept online payments - then there'd be little delay in payment and I'm assuming we could then set a shorted pending participant expiration timeframe, right?

Thanks
Chris

My understanding of the pending pay later expiration is that no-one will have their status marked to expired unless you run a script called ParticipantProcessor.php (see http://wiki.civicrm.org/confluence/display/CRMDOC40/Command-line+Script+Configuration).

I'm not sure how it works - documentation about it seems fairly light, but I would like to know more as we want to use this feature for an event we have just opened for registrations.

Is there more information somewhere else?
