How to search by Membership Organization in the Membership Directory
May 08, 2011, 01:24:21 am
I created a Membership Directory using the directions at http://wiki.civicrm.org/confluence/display/CRMDOC40/Creating+a+website+member+directory

Goal: Add the ability to search by Membership Organization in the membership directory.

Background: Each member is a member of a regional chapter (Membership Organization) in addition to being a member of the national organization.

Chapter membership is tracked in the Membership Organization field when a person becomes a member, and via Smart Groups which list active (paid) memberships for each Membership Organization/chapter.

What I've tried so far:

I can't use the Chapter Smart Groups as a searchable field in the Membership Directory because I'm using a Smart Group to limit listings to a specific group (those who have opted to be included in the membership directory). Thus a search for the Chicago Chapter Smart Group includes everyone because it displays as Chicago Chapter OR In Membership Directory.

When I try to add the Membership Organization as a field in the Membership Directory profile, I get an error message that says "Cannot add or update profile field type Organization with combination of Household or Individual or Activity."

I considered using Tags, but I haven't found a way to automatically add a tag to a contact record based on specific criteria (such as Membership Organization=Chicago and Membership Status=current).

Question: How can I include the ability to search by chapter in the membership directory?

Thanks,
Michael

Anyone have any thoughts or recommendations about this?

I'm unclear on your membership structure.   How is the membership inherited by the individual from the chapter organization?  Does a relationship exist between these two contacts?

Also if you could share a URL we could look at and use the view that would be helpful.
Try CiviTeacher: the online video tutorial CiviCRM learning library.

Thanks for your reply and questions. The membership structure is this: a national organization with regional chapters. People join the national organization through a regional Chapter.

There are three types of membership (professional, associate, student). Since CiviCRM requires "the membership type to be associated with an organization record," I created a "Membership Organization" for each Chapter. Each membership type is associated with and named with the chapter such as "Professional (Chicago)" or "Student (LA)."

Each Chapter has a separate "Member Signup and Renewal" form. When a person becomes a member, they select the Chapter, which links to the correct form so the Chapter association is made through the membership form. The only place the Chapter is listed in a contact's record is on the Memberships tab.

I could add the Chapter to the Groups tab in the contact record, but then I run into the problem I described with Smart Groups. Unless there is a way to have the Membership Directory search for "Chicago Chapter AND In Membership Directory" instead of using OR in the search, having the Chapter listed under Groups is no help.

Thanks for helping me puzzle this out. I'm sorry I can't share a link at this time.

Michael
