Managing event fees online
January 14, 2008, 05:08:53 pm
Hey everyone. I haven't found this answer in the forums yet so if it is a duplicate question, I apologize.

Here is my issue: I'm trying to track event fees in CiviEvent without the online/website integration.  But when I try and configure the event fees it requires a payment processor to be set up and enabled which I don't have and don't want to do yet.

Can I track and manage event fees "offline?"

Thanks for your help.
Tony

Last time I looked I think there was a Dummy payment processor. I think it was meant for testing, but it may work for what you need also.

If you create a Payment Processor using the "Dummy Payment  Processor" - you'll be able to save your Event Fees under "Configure Event". Then you can register people "offline" for the event from the View Contact / Events tab.

I'm actually surprised this hasn't come up previously - but I suspect we should make the Payment Processor field optional instead of required when configuring Event Fees - in order to make this work a bit more smoothly for offline registration.

Thanks MacRonin and Dave. Using the "dummy" processor works great and I can now do what I need to do through CiviEvent.  Unfortunately, if I manually register someone with this dummy processor, their contribution (event fee payment) doesn't show up in their contributions tab.

And I agree that making the payment processor optional in the future would help a lot of groups who can't or don't set up a payment processor.

Thanks again.

Actually - that's unrelated to using the "dummy" processor. The option to automatically record an associated contribution record when an offline event registration is entered is a feature that has been added in 2.0. (You can try it out on the sandbox - http://sandbox.civicrm.org)

Thanks for clarifying Dave.  I just checked out the sandbox and it works great for offline event registrations and for offline membership sign-ups!! This is a great improvement that will help so many groups. Thanks!

I just want to add my support for having payment processor as not required - and I would note it does not have a red asterisk to imply it is required.

(unless it is now not-required and i am having some other issue)

we want to have online registration with payment options being offline (ie bank transfer, phone credit card details, post cheque etc)

doens't seem to be working for me unless I have Payment Processor selected. (and i don't have Dummy set up so it takes people to our real PayPal, which in this event is an option we don't want to offer to avoid their charges)

i think the flow needs to be something like

Paid event yes/no - if yes
option to select online, offline or both

then fee label and price set
---

and on the issue of Price Set - and this has come up with other exports - when exporting a multichoice field civi drops all data in to one cell separated by commas - which we understand - but is it easy/possible to set it so that it exports a comma to represent any multichoices that are not selected - ie for multi choice where (have used x to indicate selected)

option1 x
option2
option3 x

we currently get (option1,option3)

would be much better for then breaking data in to columns if we get an extra ',' representing the null option2 ie we would get
(option1,,option3)

Does that make sense? Should I put this in a separate thread?

Peter - Issue 1 (pay later / no payment processor required) is in the queue for 2.1.

Improved export of price set data is something I think we need to tackle - but it's a bit messy as a given participant export set may include price sets from different events (e.g. different sets of output columns). I've filed a place-holder issue for this for 2.2.

I just added a custom search that does price set exports (only) for a specific event. This avoids the issues of having multiple events being exported at the same time

Integrating this with the core export will be a bit challenging. I took the easy way out and created a temp table and filled the temp table with the appropriate values etc.

I followed peter's advice and there is a column for every option value in the price set. This allows users to do summations etc as needed
