Volunteer scheduling - anyone doing it?
May 22, 2011, 04:14:34 pm
Hey there - just starting a project (maybe more than one) that will require a volunteer scheduling functionality that's tied pretty closely to the CRM. Pretty simple to start with:

1 - set up a soccer 'game' or 'practice' event
2 - both event types will need to book a 'playing field', and 'games' will need three volunteers, a 'referee' and two 'assistant referees'
2a - in the scheduling workflow, the administrator or coach will need to be able to see the available fields/referees and make assignments/requests
3 - confirmation emails will need to be sent/tracked/responded to

I've seen some old mention of volunteer scheduling needs on the forums (e.g. http://forum.civicrm.org/index.php/topic,8312.msg37501.html#msg37501 and http://forum.civicrm.org/index.php/topic,8374.msg36199.html#msg36199) and a quite old spec sheet on the wiki (http://wiki.civicrm.org/confluence/display/CRM/CiviVolunteer,+CiviCommittee).

Before I start barging in and around (and being new to the community on top of it all), I just want to know: Is anyone doing this already? Otherwise, I'm willing to start digging away at it. I may not yet have the chops to code a full-on component for Civi, but by the same token I want to start down a road that's at least moderately scalable into CiviLand. The timeline I'm working on for this is relaxed for now, meaning I don't have to rush ahead and hack a CMS-specific solution (we're using Drupal 7 and CiviCRM 4).

I think you will need to do some custom code. One potential project which might meet some of your needs is merci:

http://drupal.org/project/merci

There is pretty decent civicrm integration with merci (thanx to krenyen @ merci and oliver g @ gmvco), so i would definitely check that and potentially chat with krenyen

Excellent - I'd noticed merci in my travels, but wasn't entirely certain where it stood as a volunteer scheduler. I'll dig deeper...

This is something we would like as well. Our needs seem to fall between those proposed in the CiviVolunteer module and those needed by Chiebert. I would be happy to contribute to a Make it Happen for this.

One thing to consider is how events are structured. For example consider a soccer tournament:

There are games that need fields and referees and line judges.

There is also the overall event which needs:
    Setup
line the fields (put down the lime used to mark the field boundaries - for those who have never had to deal with this :-) ).
install the nets (goals are usually there, but nets are removed and reinstalled for matches).
          deploy trash cans
    Checkin for players/teams
    Ticket sales
    Security/Ushers
    Concessions

This is the same for a convention or a conference. Some of these might have a single event (from a CiviEvent stand point) where guests register for Foo Policy Conference and can attend any session over the 3 days, and some might be multiple events - each session is a separate CiviEvent.

A scheduling system that allowed the creation of templates made up of templates or one time tasks would be great. That would mean that one could create a soccer game as a template, and create a tournament as some one time tasks and 3 "game templates" that could be saved as a single master template. This would be really useful for organizations that host similar events often.

I know this is a pretty old topic ... but if anyone is still looking for a volunteer system...

Check out Volunteerspot.com  - they have a pretty good system that could be used as-is or as a starting point for ideas for a Make-it-Happen project.

Integrating what they have done into CiviCRM would be pretty cool with the capability of collecting activities on volunteers ... priceless.

Using as-is, you obviously wouldn't have integration with Civi's contacts.  I'm too new here to know if its possible yet, but perhaps something like this could be created in CiviCRM with existing capabilities.
Overkill is vastly underrated!
I have yet to witness a spontaneous recovery from incompetence!
