What am I missing!!!! (max participants)
June 24, 2011, 07:58:58 am
Hi

Max participants are driving me nuts as I can’t get it to work and I can register as many participants as I want over the Max number specified.

I am using Price Sets as I want participants to be able to buy multiple tickets and have set the Max Participant to 10, for example, and left Participant count blank (have even tried putting a figure in of 1) and I can register to my heart’s content over the max.

To rule out my installation I’ve tried this on the CiviCRM demo site and still the same happens.

Its probably very simple but what am I doing wrong.

Many thanks

Arthur

Can you be a bit more specific about what you are trying to do and how you have set up the event?

If you want the Max Participants to work you will definitely need to set the Participant Count to something - it can't be left blank.

Your profile says you are using v3.3.  I haven't used 3.3, just 3.2 where you could only set a maximum for the event as a whole, and now 3.4 where you can set different maximums for each option within a price field.

If 3.3. works like 3.2 then an example of how it works is:

I am holding a dinner for a maximum of 240 people so I set the Max participants to 240.

In this case people have to book an entire table when they register and there are 8 people on each table so set Participant count = 8

So each time someone 'registers' they are buying a table at the ball (ie they are buying places for 8 people).  After 2 people have registered the number of participants attending is 2 x 8  = 16 participants.

So when 30 people have registered the event is full as there are 30 x 8 = 240 participants attending the ball.

If 3.3 works like 4.0 then things are more complicated.  You can have a maximum for the event as a whole as well as maximums for each option within a price field.  The same concept applies however.  You have to define the partipant count whenever you want to set a maximum number of participants for an option/the event.  You set participant count =1 if each person buys their own ticket, you set participant count =2  if you are only selling double tickets etc.

I hope this helps.
