Create multiple activities from advanced search results
July 20, 2011, 12:29:28 pm
After doing an Advanced Search, we have the opportunity in the 'Actions' dropdown to 'Record an Activity for Contacts' . I use this to  "schedule phone call" - i.e. schedule a phone call with each of the contacts individually.

This creates a single activity, with all of the contacts in the "With..." field. Searching for contacts later produces just a single record- the activity record.

Activity Type Phone Call' ...AND...
Activity Status - 'Scheduled'
( could add "assigned" or a date range in here too)

Even if I choose "Display results as Contacts" under basic criteria, it still returns the activity I just created- what we'd prefer is to return a list of all of the contacts that I just assigned this activity to, one row per contact.

The activity search: /civicrm/activity/search comes close- it at least lists the contacts in the 'with' column, with links to the user record. But since this is one activity, when it is recorded as "completed" , that designation refers to all of the contacts together, instead of each one individually. This isn't what we want at all.

What we really need is a way to bulk create activities- any ideas on a good way to do this?

I don't think there is currently a way to "tell" it to create separate activities for each "target" (With contact ...). I can see that this would be useful and it has come up before. If you or your organization are interested in working on this - ping back here or on IRC.

BTW - in my local 3.4.4 install, Advanced Search does return all the "With" contacts as long as I clear the "created by" and "assigned to" radio buttons in the Activities pane.

Yep, this would be a really key function for us, on our priority list. I can help, but you can probably tell from my posting history that I might not be useful for much. Perhaps too I can convince my boss to pitch in as well.

...and as long as "Display Results As:" is set to 'Activities'.
