Organization Activity History Import?
January 26, 2008, 08:27:37 pm
Hi All,
We have a successful instance of drupal 5.3/CiviCRM 1.9 running for a men's ministry and men's conference organization.  Things have been working great so far but we have recently found that we didnt import *all* the data that we should have captured during inception.
We need to import activity history from our old system into CiviCRM - the problem is that the history is for organizations, not contacts.  Needless to say, the old system does not have CiviCRM record IDs so we are stuck.
The file we have to import from does have the full name and address of the organization.  Is there any way to add activity history to organization based on these records?  I'm looking to add this list of organizations to specific group.
Perhaps someone has written a hack to do this?
Please help!
Thanks
Ryan

One potential approach is to do an export from CiviCRM of the organizations - which will include the Organization Names and their CiviCRM "record ID" (we call it  Contact ID).

Then I "think" you can create a macro in Excel and tell it to replace instances of Organization Name with the corresponding Contact ID in the export from your old system.

However, I would test this first by creating a small data set from your old system (2-5 records) - and manually add the Contact ID column / value. Then try the Activity History import using the Contact ID (match to contact) mapping.

Thank you Dave.
I did as you suggested and the list I have now has the CiviCRM Contact ID for each Organization!
However, I dont see how to take that list and import it into CiviCRM in order to add the contents of this list to a new or exisiting group.
How is this accomplished?
Thanks for your help.

Hi,

You can import activities from there:

Not sure your format will fit 100%, but should do the trick.

I think I'm still missing something.
What I am trying to do is take a list of organizations, for which I now have their corresponding Contact IDs listed, and import this list so that I can add those Contact IDs to a pre-defined group.
Import Activity History doesnt seem to give me that option.
Can someone shed some light on where I might be going wrong in my thinking?
Thanks
Ryan

Your post title and original post says you need to import "Activity History" - hence the confusion. If you need to get the Organization records (type = contact) into the DB - then you can just use the basic Import Contacts, select "Organization" as contact type - and then select "Add imported contacts to group: XYZ" at preview step. This will create the Organization records and "put them in a predefined group."

If you then need to record Activities FOR those organizations - you would use the Import Activity function as noted by Xavier below.

I think that is my disconnect!
I also failed to mention that the organizations already exist in the database and I am trying to match the Contact IDs that I have from an external source and add just those to a group.
I guess what I could do is add a new activity type and import to add that activity type, then do a query to pull those out with that kind of activity, then add them to a group from there?  Is there an easier way?
Sorry about the misunderstanding and incorrect subject line.
Thanks
Ryan
