Mailing group is ignoring some people
November 08, 2011, 01:53:05 am
I have a group of students - 79 in Advanced search, and also showing as 79 in a smart group I have created for them.  When I choose to mass email this group Civimail only shows 13 recipients.  This is also happening with a couple of other groups.

If I subsequently go into individuals' edit screens and press save they seem to then become mailing recipients.  Why might this be?  Why aren't they showing automatically as recipients in the mass email when they appear as contacts in the smart group?

We've recently upgraded to 4.0.7  Could this be part of the problem.  Speedy suggestions appreciated as I have several mass emails waiting to go out!

Lindsey

Can you check if contact's that are not displayed have their email address "On hold" or have checked "Do not email"

Hi Kurund - they don't - they're 'good' as far as I can see.

Another symptom of this seems to be that civi group role sync is failing to sync our users into drupal, again only if their contact has never been edited.
I'm beginning to suspect its something to do with how we imported the data as we didn't use the import function but rather constructed the database tables directly and it appears that there's something in the tables that is wrong for contacts that haven't been touched. Is there a way in code to effectively loop over each contact, load and save them back to the database?

Might be easier to check two contacts that are fairly close in structure and see what the difference is in the DB records between one that has been edited and saved and the other that has not.

the only thing which i think that might affect it are: is_deceased OR is_deleted. But both of them would need to be fixed when saving the contact, which blows this theory away :(

Hi Kurund
I was going to try re-creating it... but the demo site seems to be in Spanish at the moment and the only default language it shows is that.  Can I change it? Do I need to 'add' English to make that appear as a default option?  Also, as my colleague mentioned, it looks like it may be something to do with the imported data which hasn't subsequently been edited not being recognised for some reason so I won't be able to re-create that dynamic.  I may do some further testing though, when I can read the demo site in English again!
Thanks
Lindsey

Lindsey,

Currently demo is in English, in case language is changed you can revert to english from http://drupal.demo.civicrm.org/civicrm/admin/setting/localization?reset=1

That would be super useful to add that on the home page node (where you give the login/password), so people can find their way to switch even when the interface is in a language one can't read.

Ok so the only change that gets made in the database is to a custom field group (incidently not the one that the smart group is based around) where we have a couple of varchar(255) fields that are set to NULL for contacts that are missing from the mailings. An edit and save on the contact changes this field to '' instead. (The default value for the field from a database point of view is NULL)

Updating the database to change all the NULL fields to '' gets us closer but it appears that now people added to smart groups i.e. with status added and not smart don't show up.
