Searching on individual items under 'fee levels'
December 14, 2011, 12:30:20 pm
I am using a price set which had about eight different options that a user can choose. Say that the choices are Option A, Option B, and Option C. I would like to be able to run a report and find out how many people chose Option A, or a different report to see how many chose Option B, etc. What I am finding is that the Fee Level field puts all fee levels in the same column or cell and I cannot seem to sort on the different options.

I have looked at custom reports and do not see a way of doing this? Any ideas?

Is this a Contribution or a Membership Price Set - or Event?

Event.

I did finally find a something under 'Search' > 'Custom Searches' > 'Price Set Details for Event Participants' that does what I need. It breaks the Fee Levels out in separate columns which I can then export to a spreadsheet and work with as I need.

I would think that this would be a standard report under the 'Reports' menu as I would imagine that lots of people would want this information. Perhaps I am mistaken though.

Regardless, this is a great application and everyone's hard work does not go unappreciated!

I think you are correct that Search and Report functionality hasn't yet caught up with the Price Set capability particularly in respect of Membership and Contributions.
I know of one civicrm user that is just starting to look at either a Custom Search or Custom Report for Membership Price Sets but unclear if they have the funds to get a generic solution.

This has been coming up so often these days that i feel compelled to reply :)

[begin rant]

1. CiviCRM is an open source project. It improves by people contributing code / docs / many other things / sprints and/or paying someone to do so and ensuring that the changes made get fed upstream to the larger project. Ultimately someone / somewhere has to do the work to make things happen

2. If its not there, it is mainly because no one has stepped forward to write/contribute it (see pt 1 above). Imagining that lots of other people want this information and it should be there does not really help anyone IMO

[end rant]

Hi folks

Glad to have found this thread (Thanks Pete)
As my org is looking at this very problem.

To clarify - our needs:

We are a large national organisation - currently on D6 - with multiple types of memberships each with their own price set.

And - we now see it would be immensely helpful if we can set up reports that search for and display member applicants based on their chosen individual price set option. This is because different line item options then need to be further processed in different ways.

SO - I already see there maybe a D7 solution for this in this thread - from Hershel - tho the status of that module is unclear - so  i will chase that up:
http://forum.civicrm.org/index.php/topic,22012.msg92255.html#msg92255
I have also seen that there has been some work on similar - for price sets for Events.

But I am going to try and pursue this feature for our D6 set up - specifically for price sets for Memberships.
My organisation should be able to contribute some funding to this,

So now would be a great time to let me know if you are interested in getting on board and contributing in anyway..
We can consider a "make it happen" or similar approach if required, depending on the cost, and the amount money i can rustle up from my own mob.

I will aim to integrate anything we do into the work already done for D7 / civi 4.0

Hi Chris
Anything done in core civi 4x and therefore will work for both D6 and D7 - so may also be a question of when you have your next civi upgrade planned. If it is a Drupal module then yes it would require D6 and D7 version.

Hey, This custom report sounds like something that may be possible with a spreadsheet or database Pivot Table type of approach.

If one of you could post a little .zip of the input data (or a list of the relevant database tables) along with the target output format(s), maybe we could work out something that would serve as a simple tool/stopgag/spec for future dev.

@Donald

I apologize if I sounded like I was criticizing any of the developers. I never did say that since lots of people might like this functionality that it should be there. While I can't offer any coding time to open source projects (I couldn't code myself out of a wet paper bag) I do what I can by hosting CiviCRM and Drupal meetings at our office and supplying refreshments (as in free beer!). This certainly does not compare to what you and the other developers are doing, but with my skill set (and financial situation) it's about all that I can do for now.

I really appreciate what you developers are doing and the last thing that I would want would be for you to think that I was anything but appreciative. For now I give back how I can and as my skills improve I hope to be able to give back more in the upcoming years.

I did a search, and came up with this thread. Have the improvements been added?

We set up a price set, linked the event to the price set, and have 86 participants.

We would like to do a search by fee level, but once we use the drop down items for fee levels, we get the following error message:

Quote
No matches found for:
Event = 2014 Concert Event ...AND...

Fee level = Comp - Ring of Honor ...AND...

Participant Status IN Attended or Pending from pay later or Registered ...AND...

Participant Role = Attendee or Volunteer or Host or Speaker

Suggestions: •if you are searching by participant name, check your spelling
•try a different spelling or use fewer letters
•if you are searching within a date range, try a wider range of values
•make sure you have enough privileges in the access control system

I can results if I search by fee dollar amounts, but not by groups, and we'd like that capability. Is the coding caught up to the options?

Thanks for help on this!

If all you want are the numbers for each option then you could try the custom search "Price Set Details for Event Participants".  Export the result and use a Sum function in your spreadsheet of choice.

This will also give you the names and contact IDs of those who chose that option, but obviously it won't be a list in Civi unless you import them into a group, so if you then need to send out emails based on the option selected this would be very tedious.

You should try installing the custom search I created for this purpose. Details are at: https://civicrm.org/blogs/sarahgladstone/new-custom-search-event-participants

Thanks for that info Sarah, the last event I needed this for was 12 months ago, so I hadn't checked lately.

And more importantly - Thank you for putting in the time to make it into an extension that others can easily install.
