Setup a email communication tracking case
December 22, 2011, 01:25:59 pm
Hi,

I am new to CiviCRM and I am trying to create a very simple case that simply tracks email communication between a contact and a CiviCRM user. I am using webform civi integration to allow a public facing form capture a subject and description which creates an inbound email activity and puts it in a request information case. I have created a RequestIformation.xml with two activity types.

  • Send an Email
  • Phone Call

I cannot get the send an email option to appear in the new activity drop down for the case. Any idea on what could be wrong? Also is there a way to respond to a inbound email activity in Civi so that the response is tracked within Civi?

Thanks,

Ryan

Could be an error in your XML file.

I do not think this feature is available presently.

Inbound email activity type might be different than the Send Email activity type. Might want to check that.

Lobo once told me about an email parsing script that would let you bcc the message to civicrm and it would file it for you. But I've never actually seen it. I'd really like to though, it would be great for my own use as well.

Check:

http://book.civicrm.org/user/basic-setup/email-system-configuration

for docs on inbound email. Would be good to develop the workflow beyond filing it as an activity. Let us know if you can develop or sponsor this. Would be a good addition to the project

To send out emails from civicase and have the replies autofiled on a case by the processing script I think you need to send the email using the email icons in the case roles sections, or when you create a case activity and use the send a copy section at the bottom.

Or any inbound email can be manually filed on a case after it gets processed into a regular activity by the script.

Thank you demiritcowboy! That did the trick. Not necessarily the most intuitive way of tracking email communication but it works.
