Assigning data to multiple contacts at once
February 07, 2008, 01:39:16 pm
I've been using CiviCRM on a project (as anyone seeing my many posts will tell you), and I would also like to use it for a volunteer group I belong to.  One thing we track is hours spent at an event, whether it be in meetings, trainings, public events, etc (the idea is to create an event for each one of these instances).  What we would really like to be able to do is to assign a set amount of hours to multiple contacts at once for a given event.  For instance, if an event is 4 hours, be able to select all the people that were there and assign hours to them.  Is that something that is possible in CiviCRM?  I realize it would require creating some custom data fields to track the hours, but I'm not sure about assigning them all at once.

Thanks.

First - you might want to play with using Activities to record some / all of these volunteer engagements. You can create a new Activity Type (from Admin CiviCRM menu) - Duration is already included in the record, but you can also create custom fields specific to that type of activity. With this approach, you can record a particular volunteer activity (at an event) for a batch of contacts from the search results listings. Select "Record Activity for Contacts" and enter the specifics including Duration.

If that method doesn't fit - you can create custom field(s) "used for" Participant records - to store # hours and other things. Then create a Profile with those fields in it - Used For = Profile in the Profile settings. Finally, from Find Participants - search on Role = Volunteer and whatever Events. Then  select  "Batch Update Participants via Profile". Select the profile you created - and you'll get a grid where you can enter hours and enter / update any other participant fields ("Status" for example) that you've included in the profile.
