Quickbooks Integration Update
January 09, 2012, 02:30:13 pm
What is the update for integration with quickbooks?  Will it be coming out with 4.1?

I feel like it would be very easy to integrate check out  http://support.quickbooks.intuit.com/support/articles/HOW12778  simply just adding some headers and mapping would be all that is necessary.  I am thinking about importing my quickbooks data into civicrm so donors can see their donation history and such and then hopefully be able to export everything out.  Using the Accounting Code or the Contribution source as my Account in Quickbooks.

Our Quickbooks Integration is actually a bit more extensive than just hooking the two systems up. CiviCRM is being enhanced to provide more enterprise level support for accounting. Here are some of the enhancements that are underway:
  • Flexible payments: Enhance CiviCRM to allow users to make payments that are for part of an invoiced amount, or for all of the amounts on several invoices using a single cheque or credit card or other payment instrument.
  • Changes, Reversals, Refunds: Part of good bookkeeping practice is to not edit or delete a transaction document (order/invoice/receipt) once it has been sent to the client. CiviCRM will be enhanced to allow changes, reversals and refunds by posting new bookkeeping entries rather than removing or modifying the originals.
  • Detailed accounting codes - so that there is a separate account for every item on a contribution page, whether it is a charitable donation on a non-charitable membership purchase, or for each item in a price set.
  • Batch support - we will begin supporting batches for data entry and processing (eg 20 cheques totalling $1120 getting deposited at the same time), making it much easier to match contributions with bank transaction that bundle together many individual transactions in CiviCRM. Auditors like batches since they cut down on data entry errors and improve security.

The spec for the initial CiviAccounts work was to make database changes to enable the above as well as to provide an export of a file of transactions for import into QuickBooks. Partly to ensure that the schema changes are what is required, we've changed our plan to include implementing all of the above for 4.2.

Current status is that most of 3 and 4 above including automated testing are completed, and work on implementing the detailed plans for 1 and 2 is beginning.

Whoo Hoo!! That is exactly what we need at our organization.  I am so excited and with confirmation that it is being worked on and is getting much closer will help me maybe to get some funding from my boss to help you guys get this out.  Is this like 6 months down the road?

We are about to launch our site, using the contribution types and accounting codes from those for now and will be super excited to migrate those into a better working system in 4.2.

Will the goals of 3 4 you mentioned be availabe in 4.1?

Unfortunately, we will not be including any of this functionality in 4.1. I would guess that 4.2 will be available maybe around June.

We are considering making CiviAccounts available as a special release that works on top of 4.1 for organizations able and willing to test and report bugs.

Awesome we would be very interested in staying in touch if you do have a module to put to the test in 4.1.

Curious to know how this is going - I've looked through JIRA, but can't quite tell.  Will some sort of accounting integration be available either in or as an add-on to 4.2?

We've rejigged some of the ways that money is handled in CiviCRM 4.2 (hint: pricesets only) as prelude to CiviAccounts coming out in 4.3.

Wondering how this is coming along and if their is any assistance needed to make this a reality.

One specific question we were wondering about is the ability to specify "classes" via CiviCRM for use in Quickbooks.  Is this being developed?

Not sure I understand your hint about pricesets.

We are setting up a new install of CiviCRM and want to make sure we have it setup in a way that will work with Quickbooks integration when it does get implemented.  Any more "hints" would be much appreciated.

This is currently not planned for 4.3 or a future release.

You might want to read and comment on this forum topic if this integration is important for your clients
