Tags, groups, or custom data?
February 09, 2008, 05:34:41 am
Hello!

I'd like to know how to better organize my CiviCRM data.
  • I'd like to "tag" all organizations (companies) according to types of their products, such as: shoes, clothes, computers, etc.
  • Then I'd like to assign all brands that suites for each company. For example, if a company sells IBM, TOSHIBA and HP computers, I'd also like to tag it somehow.
  • Is it possible to make it all possible by using some kind of a tree tag system in v2.0? Is there a maximum limit on total number of elements used in tags?

For example, after the setup, I'd like to search for all companies that sell TOSHIBA computers.

Please advise!
Thanks in advance!

There is not limit for tag creation or tagging contacts. I think you should create "Groups" for various brands and use "Tags" for products.
In build search functionality will give required results.

But what if I have a group with the brand NIKE and I'd like to distinguish NIKE sport jackets from NIKE sport shoes? If I use groups for brands only, I could lose the link between brands and product types and that's not what I want, so that's why I'm confused.

Considering your example, you Search for brand Nike (ie. Group) and also jackets( i.e Tag)

If I assign a company that sells Toshiba notebooks, HP desktop computers and Logitech accessories, could I make a search query for all companies that sells Toshiba notebooks AND HP desktop computers without mixing brands and product types, (for example I would not like to list companies that sells only HP notebooks, or Toshiba desktop computers)?

Hi,

I'd suggest you to go to the sandbox (or install your own civi 2.0) and try the advanced search and customisation, see if it fits your need.
http://sandbox.civicrm.org/

Otherwise, custom datas, groups, tags (and memberships and relations) overlap functionally quite a bit. Look at the doc to find the specific pros and cons, but at the end, several of these can be used to classify things.

X+

P.S. Don't know if your example is real, but if it's about selling stuff, might be better for fitted to look at for profit CRMs ? (sugarcrm and vtiger  if you want to have php ones).
