How best to use profiles to collect many to one custom data
February 28, 2012, 02:27:08 pm
Our client wants to maintain a DB of their event presenters using their existing CiviCRM setup. Each presenter may be approved for multiple seminars.

I had originally thought to do this as a participant record and allow multiple uses of the same email address. However, because of the data that must be collected, the system will not let me save the Online Registration because the secondary presenter's additional profile is not "individual" although the initial profile is "individual".

So, how do I record these presentation submission records and have them associated with the presenter? And how best to associate the secondary presenter with the presentation?

I really thought I had this resolved, but obviously not.  :-[

ETA: I think using CiviCase may resolve this, although I'm open to any suggestions.

I am not entirely sure I completely understand what you are trying to achieve. If you just want to have a record of the presenter you could create a smart group of participants with the role presenter? But you probably want to save a little more than just the fact that someone is presenting. Can you expand a little on your use case?

The client wants to track who is a presenter, what they are presenting, their A/V needs, their co-presenters, if the submission was approved, as well as any post-event notes/reviews. On average, most presenters are giving multiple seminars at each event. Additionally, some presenters are representing different organizations at different seminars.

Adding the presenters as event attendees and assigning them to a smart group is a no-brainer. It's tracking that other information that has become a bit of a headache. When I designed the original participant form, the client's full needs hadn't been disclosed (ie. the need to track multiple presentations per a single contact).

You might want to look at what webform-civicrm can offer since you can collect data, relationships and assign someone to an event all in one go - unless you are charging them to attend which sounds unlikely

thanks - unfortunately there doesn't appear to be a comparable component for joomla.

ah sorry my bad. perhaps you could fill in your CMS details in your profile, and if both, say so.
