Emailing Organisational memberships
May 10, 2012, 02:12:38 am
Scenario:
Memberships for Organisations are created witha front end profile and on behalf of.

We capture an org email and an individuals email who is an employee of.

The membership belongs to the organisation.
The employee is a member by relationship to the org but has no membership. From a business perspective they ar e to all purposes members too.

When you want to email individuals associated with that membership, generate invoices etc how do Civi users deal with this scenario?

Currently our way around for email blasts is to save the individual profile into a group called members at the time of sign up. then run a search for memberships and include that group to get the individuals.

How do others handle this scenario?

can you clarify if you were using 'inherited' memberships for the individual (employee of) - are you?

You can do this with a Smart Group made from an advanced search with the criteria is active members of the "related" type only (so it returns the person). Then you can use that group for your emails (and other activities) and it will stay current.

As Lisa says, a Smart Group might work nicely for you here, and should only give you a current list of members.  The group added to at the time of sign-up may get out of sync with the actual membership status of the individuals as time passes.

I just started a new thread about the second part of the scenario.  I understand the smart group approach but what about auto renewal notices?

I also needed to identify the "primary contact" for an organization, which I created a tag for since I could not find a way to create a smart group based on permission, where every "primary contact" has been assigned the edit rights to the organization.  If there is a way to do this in the advanced search please let me know.
