Clarification about "my cases" please
May 30, 2012, 11:29:57 am
Hi,

I'm new to CiviCRM, trying to evaluate the feasibility of using CiviCase for a nonprofit mediation organisation.  I'm trying to understand how "my cases" works, and would appreciate some advice.

A case would typically be created by an administrator, and two mediators would be assigned to it - I guess these would be "case roles".  The admin needs to be able to see and edit all cases.  The mediators need to see, and edit, only those cases to which they are assigned.

I think I've picked up that if a user is attached to a case in a role, that case will show up in the "my cases" listing - is this correct?

My question is, can the mediator roles also edit the case (e.g. add or edit activities)?  What gives me pause is this wording in the user manual under "CiviCase Drupal permissions".  Under permission "access my cases and activities" it reads: "allows a user to create new cases, add activities to the cases they've created and edit those activities. Users with this permission can NOT see cases or activities created by others."

Taking this literally, it implies that only the case creator (in this case the admin person) would be able to add and edit activities.  If this is true, it would mean that the mediator roles would be unable to edit the case.  That would be a complete show stopper, hence my concern to get this point clear.

Thanks in advance for your help!

I think that description is true but incomplete.

If a user with only my cases permission has a role in a case they have access to the manage case screen and can add/edit their own activities, but only see/edit activities created by others if they've been ASSIGNED the activities.

Thank you!

Then if it is possible to assign more than one user (i.e. both of the two mediator roles) to the same activity, we should be OK.  In the user manual, under "Editing an activity in a case" it says "You can assign multiple contacts to an activity", which I guess means that this can be done..?

Assuming this all works, would it then be sensible to create a hook to force all activities to be assigned to both mediators?  (Hoping this is not a dumb question - I'm new to CiviCRM but I'm supposing hooks are similar to event triggers in, e.g., Oracle applications.)

Right can assign more than one. For some questions like that one you can test things at http://drupal.demo.civicrm.org.

See hook docs at
