Hello,

we are a small non profit which uses CiviCRM for organizing dance camps for their members. We therefore rely on CiviEvent, CiviMember and CiviMail.

In the last two years we have modified our installation of CiviCRM 3 with a couple of modules that allows us to interface it directly with our bookkeeping system. Additionally we extended certain views and searches to make events more useful for dance events (e.g. we need to know the type of attendee and make sure that we have an even number of males and females (otherwise it makes it hard for dancing).

In the last two months we had help with upgrading the Web site to Drupal 7 and CiviCRM 4, yet our helps knowledge in CiviCRM is limited so he would not be best suited to migrate our custom code as well. Additionally, our two other developers have sadly run out of time (as in paid work outside CiviCRM got overwhelming) and we don't want to rely on pro bono work by our IT savvy members (read: Myself) to keep the site running.

Therefore we are looking for a company which will support us long term with our CiviCRM installation needs, starting with migrating our custom modules at the moment and then help us with our additional endeavors like:

  • Change the accounting system to work with products for events and synchronize those products to the bookkeeping system
  • Support for Debit Memos (e.g. if a participant cancels an event, yet has already paid, we need to issue a debit memo as we are not allowed to cancel the invoice)
  • Invoice Template so we can send a PDF invoice to the customer, while the invoice_number coming from the accounting system
  • Event signup questionaire. Participants should fill out this questionnaire and depending on the answers be automatically assigned to levels
  • Automated waiting lists. CiviCRM supports waiting lists just fine. Yet we need to have depending waiting lists, to make sure that ratio male/female works for each level. So, if the questionnaire put you in Level B as a male, the system would check for the first registered female on the Level B waiting list and auto approve her, UNLESS the male provided the E-Mail of a specific dancing partner. You get at least a picture of what development efforts we are up to.
  • New Member Signup online
  • Bounce E-Mail Handling
  • Facebook integration for Event Marketing
  • Somewhere in the future: Asset Reservation System (e.g. Rooms, Mobile DJ pult, stuff like that).

As we are a strong believer in Open Source we would be keen on having our amendments, unless they are too customer specific, brought back into CiviCRM. I think that at least our accounting efforts might be useful, if only as a reference point on how to achieve this with any third party accounting system (and don't we love them all dearly).

If you are interested in working with us long term on this and don't mind the fact that "us" includes the pro bono developer who is so proud of his code success (just kidding), then drop me a line (or many) at malte@newswinggeneration.de stating how you would envision our working relationship. And even though I would love to see our non profit earning so much income that  our budget for IT needs to balance it out, it isn't 5 figures (in EUR) per year. Just in case you got your hopes up (but it is 4 figures :-)).
