Ubercart Product Events using CiviCRM for assigning attendees?
July 03, 2012, 08:09:16 am
Hi I'm trying to find the best solution to the below process flow. Its for an online course catalogue that sells real training courses at their premises. They'd like to have parent child relationships to allow HR managers to assign courses to employees in the checkout process/or register new attendees.

here is a basic outline of the booking/purchase procedure When you want to book a course you should:
A log on according to your profile or "Join" as a new user
B select a course
C then be prompted to select the number of delegates from a drop down list (1-25 delegates)
D then be prompted to select a delegate name or names from those delegates residing under your profile, if you are a supervisor, by means of a "drop down"
E alternatively and also confirm that the course is for you personally
F alternatively and also drop down options select the option "To Be Advised" - i.e. - we need to allow someone to book for a group of delegates who still need to be nomnated/selected by the company;

In summary, once you have selected a course and the number of delegates for that course you need to be able to select a mix of different delegates including yourself and any number of unnamed delegates which the customer or we as administrators can update later for record purposes.

G As you add the number of delegates to each course you should immediately see the cumulative total cost either ex VAT, or preferably with Total + VAT = TOTAL incl VAT in a "box" displayed on the page;
H Once you have completed A-F above and choose to "check out" you should move to a "Summary Page" as per the tab on the attached;
I If at any time you choose the "view details" you should then move to the "course outline" page similar to the current "course page" that has been developed but it must be one unique page per course;

Can CiviCRM handle this ? Also is there someone who could do the implementation and setup for us?

I think you can get a long way to what you need using Price Sets since you are happy to accept a 'number' of trainees, without needing their name etc.

If that doesn't meet the requirements I would look at what can be done via webform-civicrm module and using the 'hashed link' approach to push them over to civievent if they need to then pay (check recent blog)

good luck - if you need support you might want to post under Professional Services required or whatever that Board is called

Hi Peter, Thanks for your reply.

We need to select delegates from people that have been linked to your profile - e.g. if you are a manager and you log in the system needs to expose your employees as selectable in the checkout cart process.

Do you still think CiviCRM can help?

Thanks

webform-civicrm is likely to let your manager select from an autocomplete where the list is limited to people with a specific relationship to them.

but if you are wanting named people added as participants to the event then you probably have an extra step to do which i am not sure is possible, namely to push all those names from webform through to civicrm. coleman has done something along the lines of pushing the collective costs through to civievent somehow but not sure if that takes the names through too. doubt it.
