Volunteer profile settings / Add to Group

I am using a Drupal Registration form with a CiviCRM Profile for Volunteer intake. I want to be able to search for all people who have volunteered in a certain time period.

Right now I have a bunch of checkboxes in my Profile indicating the ways someone might volunteer. The way to distinguish between a regular Registered user and a Volunteer is that a Volunteer might have one or more of those boxes checked.

At the suggestion of Dave Greenberg, I have tried creating a group called Volunteers, and then in the Volunteer Profile settings I have said to automatically add the record to the group called Volunteers. However, the result was that everyone who fills out the Registration form gets added to the Volunteer group, not just someone who selected one of the checkboxes indiciating they are a volunteer.

Per Dave's request I am reporting those results back here and requesting additional guidance on this.

I assume the bunch of checkboxes is a custom field. If you make this custom field searchable (in the settings for this custom field), the custom field appears in the advanced search form

You can then search for contacts who are in group volunteers and have a specific box checked and create a smart group. Unffortunately I dont think you can search for "give me all contacts who have ANY of the following checkboxes SET". you can search for "give me all contacts who have ALL of the following checkboxes SET". You can save these searches as one or more smart searches and retrieve the list you need periodically

Hi Karen,

I believe I have implemented in a volunteering site I'm administrating, using Joomla! and CiviCRM, what you are looking for.
This is what I have done:
  • For each kind of volunteering field that someone could choose I have created a Tag
  • The profile for registration shows these tags as a list of the fields for volunteering, using checkbox
  • I created a Smart Group called "Volunteers", from an built search using this criteria: Tags IN (list of all tag IDs)


Therefore, an individual can choose a field, or fields, of volunteering checking checkboxes (tags), and the Volunteers group keeps all contacts that have at least one of the tags in that list of the search criteria.
