How to log completion of training courses

Hello,
I am using CiviCRM 4.2 to maintain a database of around 500 people in my organisation.
We run a training course that many of our members complete, which needs to be refreshed every 3 years.
I need to record when someone completes the training course. I have tried doing this with an 'Activity'.

The problem I am having is searching for those who need to do the refresher because their training is out of date, or because they have never done it. I'd love to be able to search for members of a particular group who have NEVER had a training activity OR who's most recent training activity is more than 3 years ago. Is there any way I can do this?

If not, is there some other way to do this?

Hello Ben,

Have you tried setting it up as an event?

1. Create an event: Type= Workshop, role= attendee, Title= Training course(might add date to help you find it at a later date. this is your Search mechanism), Summary= Course subject (up to you), Start Date= Date of the training course, End date= 3 years from start date. Continue.

2. Go to the schedule reminders tab. Reminder Name= 3yr refresher, Recipients= Attended, When= 1 month before end date, Additional recipients= your admin group, Set up your email to remind them that they need to take this class.

Now in addition to those contacts receiving a reminder, you can perform an advanced search by event name, type, or date range, and find who attended the event, finding out who's training expires along the way.

that is a great help.

I'm still a little unclear on how I would search for people who have never completed the training (i.e. people who have never attended an event)

A no-coder way would be to create a Smart Group for 'all' and another one 'attended one of your event" (if that is how you will record those who have trained - or Activity if you go that route)
Then try the Custom Search ' include/exclude - and include Group 'all' and exclude the latter - and build another Smart Group off that - may do what you want
