Contact Activity: How Assigned Activity only at specific person/Group
October 22, 2012, 01:03:04 am
Hello.
I'm trying to configure a new installation of CiviCRM on Drupal (is a test). Everything seems to have gone fine except I dont understand how assign an activity only a specific group and not at all contact.
For example: when I create a new activity, Meeting and Phone Call appears in the Activity Type drop-down. after I choise it, i can select, via group and ACL, the contact related to the activity (for example only "Unit One Members") but I dont know how assign activity at specific person that is included in a specific group (ex: "Unit One Operators"). I have searched on the community but i have not found a solution. Wich is the best solution (the more efficent) for the problem? (also via code)
Thanks very much in advance
Simon

Hello Simon,

I'm a bit confused by your question. Are you trying to create an activity for a single person or a group?

If the activity is for a single person, all you need to do is add their name in the assigned to field when creating a new activity. If you are trying to create an activity using a group (or contacts that are part of a group), perform a search for the group, ad select the contacts that need to take part in this activity. then select "Record Activity for Contacts" from the Actions menu, and Go. this will allow you to create an activity for these contacts.

If you need to create activities for these contacts often, I would suggest putting them into their own group, with their original group as a parent. That way, the next time you need to create an activity, you can search for the group to start with.

Hope this helps.

Cheers!
Jason

Thanks Jason for the reply!
Sorry. The answer was not very clear ... my english is very bad   :-\.
I try again to explain what I'm not be able to do.
My question is focused on the 'Assigned To' field ...
I have more contacts stored in different Groups (Member, Social Assistent, ecc). I have also the group 'Operator' that can work (via ACL) with the Contact Activity. When I go on the field 'Assigned To' the automatic drop-down list show All contact (like 'With Contact' field list) and I don't want it. I wish it shows only my authorized staff 'operator'. I haven't found a solution via config or via ACL to limit the list of the contacts that appears in the automatic drop-down list of the 'Assigned To' field.
Thanks in advance for the help
Simon

Hi

I'm having the same issue - our calling team wants to be able to assigned Scheduled activities to a 'pool', then whoever is available to make calls comes along and picks up one of the calls from the pool.

Assuming we're going to need some custom work done, what's the best way to achieve this?

I was thinking of creating an individual for each campaign and assigning them all the scheduled activities for that Campaign, then create an interface where people can click to start making the calls assigned to that person.

Hi Ryan

Give us a ping tomorrow arvo if you want to talk it through - i think we have done something similar - sidestepped civi a fair bit though, but no code required.

Import/Create the Activities and set to 'scheduled' or whatever status.
They don't need to be assigned to anyone afai recall
Make a View to show those that are Scheduled with a column containing a link to a webform-civicrm that preloads the cid1=<contact id> where the contact id is the 'target' of the activity.
Let your callers have access to this View
Submitting the form changes the Activity to Completed
Hence removes the Activity from the View

Yes it does, thanks Pete. I'll send you the screenshot of what we're planning.
